Administrative Assistant to be the face and voice of our facility in Hudson, WI. As the first point of contact for visitors, employees, and clients, this role is critical in creating a welcoming, efficient, and professional environment. The ideal candidate is a self-starter who thrives in a fast-paced setting and enjoys juggling multiple responsibilities with a smile.
Shift: 1st, Monday - Friday, 7: 30am - 4: 30pm

What You Will Do- Welcome visitors by managing sign-in procedures, issuing badges, notifying hosts, and providing hospitality throughout their visit.
- Answer phones, screen/direct calls, and handle inquiries.
- Provide excellent customer service both in-person and over the phone

- Receive, sort, and distribute incoming mail and packages daily
- Order lunches and coordinate catering for customer visits and meetings
- Complete the Concur Expense report monthly for any expenses occurred.
- Manage the coordination of onsite meetings including conference room setup and cleanup, provide beverages, snacks, coffee, and other refreshments as requested
- Order and maintain office supplies and schedule equipment maintenance
- Create and distribute employee ID badges for new hires, assign badge access to contractors and visitors and terminate badges as needed.
- Ensure compliance and safety by conducting contractor training, verifying contractor eligibility, and maintaining related documentation.
- Prepare and communicate announcements to the facility including New Hire, Retirement, Departure, Site Event, Building Maintenance, Newsletter communications, Etc.
- Assist with other administrative tasks as assigned
Who You Are (Basic Qualifications)- 6+ months experience as a receptionist, front desk representative, or similar role
- Proficiency in Microsoft Word, Outlook, and Excel
What Will Put You Ahead- Strong organizational and multitasking skills
- Excellent verbal and written communication abilities
- Customer-service oriented with a positive and professional attitude
- Ability to take initiative and work independently as a self-starter
