Real Life Counseling PLLC is hiring a Admin Support - Front Desk in Vancouver, WA. This is a full-time position.
Company Description: Real Life Counseling (RLC) is an Administrative and Executive Services Agency, facilitating and supporting the connection between individuals, couples and families seeking Mental Health Counseling with RLCs network of Clinical Interns and 1099 Independent Contractors in private practice settings throughout Clark County, WA, utilizing both in-office and telehealth services, and funded through a combination of Medicaid-funded Insurances, Private Insurances, and/or Private Pay. RLC also provides administrative support to our Behavioral Health Agency, Real Life Community Behavioral Health (RLCBH). Job Overview: The Front Desk team member serves as the central point of contact for clients and acts as the bridge between referrals and billing managing the in-betweens. This role supports clients in person and by phone with administrative and account-related questions, manages the main line, facilitates record requests, and oversees the creation and maintenance of client accounts. Responsibilities include verifying active insurance coverage, collecting copays and payments, identifying and communicating billing barriers to providers, and accurately maintaining information within the EHR system. The Front Desk team member also serves as a resource and trainer for the EHR, providing troubleshooting support as needed to our providers. Job Duties: This positions duties include, but are not limited to: Provide and supervise the greeting of each client as they enter and exit the building/lobby, providing them immediate positive engagement, support in checking-in and answering any questions they may have pertaining to their accounts, including updating any insurance changesRunning Copays for one or both of our clinics (RLC and RLCBH).Supporting clinical staff with information (help sheets and training as needed) pertaining to the client check-in processInputting Insurance Information into each client profile within our EHR system and ensuring its completed accurately, and coordinating with providers regarding any insurance or billing barriersRunning Insurance Verification on all clients, annually and as needed, to ensure clients are not burdened with unexpected unpaid balances and support clients in navigating any identified insurance barriers.Alerting Billing of any identified insurance changes if needed (Billing will also alert Front Desk of any identified changes/barriers)Confirming all Client Intake Documentation is completed prior to Intake and client information is up to date and accurate.Provide (as applicable) receptionist-oriented services of assisting clients with administrative type questions and answering the RLC and/or RLCBH office phoneOversee, manage and answer the RLC/RLCBH phone lines so as to provide actual human support & contact to those who call in seeking assistance. This also includes directing clients and staff to appropriate departments/leads for their inquiries.Provide administrative-specific support to clinical staff and directing clinical staff to appropriate departments or alternative staffBe a superuser of our EHR platform and provide support to our clinical staff when they experience a barrier in its usage, which also includes adding new users and accurately inputting their information and EHR permissions, and updating them as necessaryParticipate in new employee/1099/intern onboarding in partnership with HR - this includes providing a tutorial to each new provider within our EHR system and associating them to the Front Desk DepartmentCommunicate with our clinicians and clients from a strengths based approach that harmonizes with RLC/RLCBH culture and values.Maintain an up-to-date knowledge of the insurance(s) the clinical team are credentialed with, so in situations of a changed insurance by a client, support can be provided to both clinician and client.Faxes and Records Requests - Maintain all incoming faxes and ensure they are filed in correct folders and provided to correct staff. Support staff in following up with any faxes as needed.Support Clinical staff in completing records requests by receiving faxes, adding that information to the clients EHR filing cabinet, alerting the clients provider to the records request, and faxing out the provided documents after the provider has verified or obtained and ROI from the client for the requester.Be the information/request transit center for RLC/RLCBH - meaning, identify the department/department lead that a question or request should be directed to and direct the staff or client there via phone, email or website. This includes managing the RLC phone tree (in collaboration with Operations). In partnership with the Front Desk Admin Lead, create or maintain individual Standards of Operations (SOPs) for your department, including individualized training new supports can useFacilitate the creation and management of new EHR profiles with the Admin LeadProvide specific identified billing support tasksProvide New Provider training to new providers in regards to your specific department - including the creation/management of training content for the new provider training folder Benefits: Wage: Starting pay is$21/hr. Floating Holiday can be taken anytime of the year and do not accrue or carry over.Vacation Time - Vacation Time accrues at different rates depending on tenure with RLC, and updates upon employment anniversary date.
