Documentation Specialist I, Equipment Finance - FF& L

Job Summary
The Documentation Specialist I-FF& L supports the preparation and review of lease and loan documentation in accordance with internal policies and procedures. This entry-level position assists in ensuring smooth and timely transaction closings by working collaboratively with senior staff, clients, and internal teams. The role contributes to the team's operational accuracy and client service excellence.

Hourly Pay Range: $19.13 - $23.91 - $28.69Pay Range: Local Minimum Wage - $0.00 - $0.00

Job Responsibilities:
  • Document Preparation & Review: Draft and review lease and loan documentation under supervision, ensuring alignment with company procedures.
  • Client & Internal Communication: Coordinate with clients, internal stakeholders, and attorneys to support the documentation and closing process.
  • Data Entry & Accuracy: Input and maintain transaction data in internal systems, ensuring accuracy and completeness.
  • Compliance & Recordkeeping: Assist in verifying compliance with legal, regulatory, and policy requirements.
  • Professional Development: Participate in training and development to build knowledge of public funding, tax regulations, and documentation best practices.


ADDITIONAL ACCOUNTABILITIES
  • Performs special projects, and additional duties and responsibilities as required.
  • Consistently adheres to regulatory and compliance policies and standards linked to the job as listed and complete required compliance trainings. Accountable to maintain compliance with applicable federal, state and local laws and regulations.


Required Qualifications:
  • Education level required: High School / High School Equivalency (GED, HiSET, TASC) / Foreign Equivalent (Add applicable additional detail i.e. field of study required or equivalent work experience if applicable)
  • Minimum experience required: 3+ Years of banking, leasing, or financial services experience
  • Strong attention to detail and ability to follow structured processes
  • Proficiency in Microsoft Word and Excel
  • Effective written and verbal communication skills
  • Willingness to learn and adapt in a fast-paced environment

Preferred Qualifications:
  • Experience supporting loan or lease documentation in a financial institution
  • Exposure to public funding or municipal finance environments
  • Familiarity with documentation systems or databases


Job Competencies:
  • Basic understanding of lease and loan documentation workflows
  • Ability to manage time and prioritize tasks effectively
  • Detail-oriented and organized
  • Customer-service mindset
  • Physical demands (ADA): No unusual physical exertion is involved.
