About the Role:

As Conference & Events Coordinator, you’ll support the C& E team to deliver exceptional guest and client experiences by managing all event‑related enquiries, bookings and administration with professionalism, accuracy, and a strong focus on driving yield.

Working closely with internal hotel teams, you’ll coordinate conferences, weddings, private dining and accommodation bookings, conduct client and supplier site inspections, support lead generation, and ensure seamless event execution both behind the scenes and on the day. You’ll maintain up‑to‑date records in the iVvy event management system, prepare regular and ad‑hoc reports, and provide onsite support for key events at the direction of the leadership team.

Key Responsibilities

• Coordinate and manage event enquiries, bookings, and administration with accuracy and professionalism.
• Support the planning and delivery of conferences, weddings, private dining, and accommodation events.
• Conduct site inspections for clients and suppliers to support event coordination and conversion.
• Collaborate with internal teams to ensure seamless event execution and exceptional client experiences.
• Maintain accurate event information, client details, and sales activity within the iVvy system.
• Prepare regular and ad‑hoc reports for the Conference Sales Manager and General Manager.

Skills & Experience

• Previous experience in similar role ideally coming from the Hotels or Event companies.
• Solid administrative and reactive sales experience, including preparing quotes, managing correspondence, handling enquiries, and completing post‑event follow‑up.
• Proven ability to coordinate conferences, weddings, dinners, private dining and accommodation bookings with accuracy and adherence to SOPs.
• Strong communication and customer service skills, with experience handling calls, booking appointments, conducting site inspections, and supporting lead generation.
• Collaborative team player skilled in working with back‑of‑house teams, providing onsite event coordination, and supporting colleagues across departments.
• Proficient in event management systems (ideally iVvy), with the ability to maintain.
