Why This Role Exists We now run payroll, benefits, onboarding, and accounting for multiple companies across three states, and both functions sit with a small corporate team that is stretched thin. Certified payroll filings, 401(k) uploads, benefit enrollments, bank reconciliations, sales tax returns, and month-end close all land on the same few desks. That does not hold as we keep acquiring companies. Every acquisition adds employees, a payroll register, a benefits population, a set of business licenses, and another general ledger to reconcile. This seat exists to take real ownership of both halves the people side and the accounting side so the corporate team can operate ahead of the business instead of catching up to it. The Opportunity This is a genuinely hybrid role, and we want to be direct about that. Roughly half of this job is human resources administration and roughly half is corporate accounting. You will be the person an employee comes to with a benefits question, and the person reconciling the bank in Acumatica. That combination is unusual, and it is deliberate. In a multi-entity company our size the two functions touch constantly payroll journal entries, benefit accruals, workers compensation audits, certified payroll. Someone who understands both does the work better than two people who each understand one. You will report to the Controller, work closely with the accounting team, and have real influence over how these processes get built as we scale. Human Resources Responsibilities Serve as the primary point of contact for employees on HR policies, procedures, and employment-related questionsCoordinate full-cycle onboarding, including new hire paperwork, orientation, system setup, and benefits enrollmentManage 401(k) enrollments and weekly contribution uploadsCoordinate offboarding, including exit interviews, final documentation, and system access removalMaintain employee personnel files and HRIS records with accuracy, completeness, and confidentialityAdminister employee benefit programs new enrollments, qualifying life events, annual open enrollment, and coordination with providersProvide backup support for payroll processing, reviewing employee changes, deductions, benefit elections, PTO balances, and payroll auditsAssist with weekly certified payroll filingsCoordinate the annual performance review process with managers and maintain documentationSupport recruiting with job postings, applicant screening, interview scheduling, and candidate communicationMaintain recruiting platforms and the Applicant Tracking SystemTrack employee certifications, licenses, required training, and compliance deadlines across multiple states and jurisdictionsCoordinate employee recognition, wellness, and engagement initiativesHelp maintain HR policies and the employee handbookSupport annual workers compensation audits and respond to auditors and regulatory agencies Corporate Accounting Responsibilities Manage daily bank transaction matching and bank reconciliations in AcumaticaProcess and record daily cash receiptsPrepare and file monthly and quarterly city and state sales tax returnsManage business license renewals and regulatory complianceCoordinate vehicle registrations, fleet records, and related compliance requirementsSupport the monthly financial closePrepare and post general ledger and payroll-related journal entriesReconcile assigned balance sheet accounts and investigate reconciling itemsSupport special accounting projects and process improvement work Systems & Process Improvement Serve as our internal subject matter expert for WorkForce Go, including HRIS, payroll, timekeeping, and applicant trackingIdentify and implement improvements to HR and accounting workflows rather than absorbing their inefficienciesUse AI and automation tools where they genuinely reduce manual work, and document what you build so the improvement outlasts youSupport HR and accounting systems work through acquisitions and integrations
