Description:
Essential Functions and Responsibilities:
Executive Staff Support:
- Effectively manage and prioritize the President's and executives' calendars.
- Schedule and coordinate internal and external meetings, ensuring efficient use of their time.
- Arrange and coordinate domestic and international travel logistics, including flights, accommodations, transportation, and itineraries.
- Collaborate with executive team members to plan, organize, and execute meetings, conferences, and events.
- Coordinate logistics, including venue selection, catering, audio-visual requirements, and material preparation for the President and CEO staff meetings
- Handle sensitive information with the utmost discretion and maintain a high level of confidentiality.
- Cultivate positive working relationships with internal and external stakeholders.
Administrative Support:
- Follow up with executives and their teams to ensure timely completion of tasks, including performance management and compliance training deadlines.
- Assist in special projects and initiatives as directed by the President or other executives
- Support the HR team with managing employee files.
Time Allocation:
- President: 8 hours per week
- VP HR: 7 hours per week
- CRO, CFO, CMO, CTO, Chief Architect – 4 hours per week per leader
Requirements
- Proven experience as an executive assistant or in a similar role.
- Exceptional organizational and time-management skills.
- Strong attention to detail and accuracy in all tasks.
- Excellent written and verbal communication skills.
- Proficient in calendar management tools and Microsoft Office Suite.
- Ability to handle confidential information with discretion.
- Flexibility to adapt to changing priorities and work independently.
- Possesses a strong aptitude for technology with the ability to quickly master and integrate tools relevant to the role.
- Must comply with company vaccination policy
- Ability to follow DI’s policies and procedures
- Based in the greater Burlington, VT area and able to be in the office weekly or when requested
Education and/or Experience
Previous experience supporting C-level executives is highly desirable.
Physical Requirements/Working Conditions:
While performing duties of this job, the employee is predominantly functioning in a sedentary light office position with a high frequency of keyboarding and computer use.
Supervision Level
This person reports directly to the People Operations Manager.
