Job Summary: Alsco Uniforms is looking for a highly organized and detail-oriented Executive Administrative Assistant to keep our office running smoothly and efficiently. This is a great opportunity to assist our company with diverse projects and provide administrative support to executive and senior departmental leadership.
Compensation: $35 - $40 per hour

The Ideal Candidate
The ideal candidate is a detail-oriented, self-starter with three or more years of prior experience supporting a senior executive or leadership team. The dynamic nature of this role requires that the ideal candidate have exemplary time management skills and the ability to identify and anticipate the needs of executive and senior leadership. The candidate must interact seamlessly and with a professional demeanor across a broad range of individuals. To perform this job successfully, the individual is expected to handle highly sensitive and confidential financial, legal, personnel, and institutional information while exercising professionalism and discretion.
Essential Functions:
- Compose, edit, and prepare communications such as memos, emails, reports, and other routine correspondence
- Maintain calendars
- Handle printing, copying, filing, and email/messages
- Sort and direct incoming mail; mail merge, label outgoing mail/overnight packages
- Coordinate internal and external meetings/events, including scheduling meeting rooms, hotel reservations and accommodations, compiling data, distributing materials, sending reminders, and organizing catering, when necessary
- Coordinate travel, including air, car, and hotel reservations
- Process service of process (garnishments, child support orders, letters of representation, etc.)
- Process, reconcile, and track payments
- Maintain email and other address directories
- Organize and maintain paper and electronic filing systems
- Maintain confidential and sensitive information
- Complete a variety of special projects including creating PowerPoint presentations, assembling and distributing financial statements, compiling reports, and preparing agenda materials
- Routinely perform a wide variety of support duties, including supporting various departments or projects, as needed
Additional Functions:
- Provide backup support for front desk/reception and mailroom positions, as needed
- Answering phone calls in a polite and professional manner
- Welcome visitors and identify the purpose of their visit before directing them to the appropriate department
- Other general office support as needed including answering phones, data entry, and other clerical duties.
- Perform other projects and tasks as assigned.
Qualifications:
- Comfortable interacting with high-level executives
- Appropriate handling of confidential and proprietary information
- Effective time management – ability to juggle multiple tasks and meet deadlines
- Excellent organizational skills
- Accuracy in assignments and projects
- Critical thinking and problem solving
- Display sound judgment with the ability to prioritize and make decisions
- Follow instructions and processes
- Effective written and verbal communication, including editing and proofreading skills
- Interpersonal communication and collaboration
- Excellent computer skills, including Microsoft Office (Outlook, Word, PowerPoint, and Excel); familiarity with Sharepoint and Adobe is a plus
- Ability to learn new systems
- Energetic and eager to tackle new projects and ideas
Education:
- High school diploma or equivalent required.
- College coursework is preferred.

- Physical demands and requirements for the shift consist of standing, walking, sitting for long periods of time, and occasionally lifting up to 25 lbs., stooping, typing, hearing, and speaking.
