SUMMARY

Welltower is seeking an experienced and strategic Travel & Expense Manager to lead and build a centralized, high-performing global T& E function that supports our fast-paced and complex real estate business.

This leader will consolidate responsibilities from existing teams to oversee all aspects of our travel and expense program, including system administration and optimization of SAP Concur, financial reporting of T& E spend, employee compliance with T& E policies, and management of relationships with card issuers, travel agencies, and related vendors.

Additionally, this role will oversee Welltower’s corporate T& E and purchase card programs, develop and deliver training, and ensure an efficient, user-friendly experience while maintaining strong internal controls. The Travel & Expense Manager will collaborate cross-functionally with FP& A, Accounting, Human Capital, IT, and external partners to drive operational excellence and process integrity.

KEY RESPONSIBILITIES

  • Serve as system administrator and subject matter expert for T& E software platform (SAP Concur).
  • Generate insightful reporting to support spend visibility and trends, budgeting, policy compliance, and other key reporting metrics.
  • Maintain and configure system settings including personnel assignments, workflows, expense categories, cost centers, etc. to facilitate operations as well as reporting needs.
  • Manage Concur user provisioning, permissions, profiles and approval workflows.
  • Oversee corporate card program including card issuances, spend controls, and delinquency monitoring.
  • Provide comprehensive communication, user support, training, user guides, and standard operating procedures related to T& E policies, coding and Concur system use.
  • Coordinate with Information Technology, Human Capital and Accounting as needed to support users and facilitate reporting.
  • Serve as main point of contact with software provider, corporate card vendors and travel agencies.
  • Stay up to date on system enhancements, best practices, and regulatory requirements affecting T& E processes.
  • Administer T& E policies and support audit requirements, including reviewing and approving expense reports for policy compliance for designated executives.
  • Monitor adherence, identify trends in policy violations and lead corrective action plans.
  • Work with Accounting to support monthly close procedures, including managing key integrations to ensure accurate reporting and financial reconciliation.
  • Partner with Human Capital and Accounting to suggest updates to Company T& E policies, as needed.
  • Develop a high-performing T& E team. Establish operational excellence through strong processes, controls and stakeholder support.
  • All other duties assigned.

TRAVEL

Minimal out of area and overnight travel may be expected.

MINIMUM REQUIREMENTS

  • Bachelor’s degree in finance, accounting, business administration, or a related field.
  • 5+ years of experience managing T& E operations, compliance, and administration of corporate travel and expense platforms (e.g., SAP Concur, Emburse, Navan, Coupa, Ramp).
  • 2+ years of people leadership experience.
  • Strong knowledge of T& E policies, financial controls, and compliance standards.
  • Proven cross-functional collaboration and communication skills.
  • Excellent analytical skills with a track record of process improvement and project management.
