Description:

Our Marketing and Communications Office is seeking a Senior Program Coordinator to coordinate and support the administrative and operational components of assigned programs or functional areas. This person will support leadership by managing calendars, coordinating meetings, and ensuring alignment, continuity, and timely execution of program-related activities. The focus of this role is to organize the department. You will be arranging high-level meetings, tracking key projects, and supporting our marketing, public affairs, and communications professionals. You will need to be energetic, reliable, and discreet with internal details. You may assist with booking travel, and you will definitely be managing several challenging calendars. Position Key Accountabilities:
  • Tracks action items, deadlines, and project milestones; supports leaders in monitoring progress and ensuring timely completion of assignments.
  • Coordinates administrative and operational activities for assigned programs or functional areas, ensuring effective communication, organization, expense tracking, and follow-through to support program objectives and ensure fiscal responsibility.
  • Provides high-level support to assigned programs, including managing complex scheduling, coordinating meetings, coordinating logistics, and preparing materials.
  • Serves as a point of contact for internal and external stakeholders; responds to inquiries and routes information appropriately on behalf of leadership.
  • Assists with the planning and coordination of program-related meetings, events, and initiatives, including logistics, agendas, materials, documentation, and follow-up actions.
  • Maintains files, records, calendars, and documentation in accordance with institutional policies and procedures.
  • Performs other duties as assigned.


Minimum Education:

Bachelor's Degree in a related field required

Minimum Experience:

4 years of experience in complex administrative or program support roles required. May substitute required experience with equivalent years of education beyond the minimum education requirement.

Physical Requirements:

Exerts up to 20 pounds of force occasionally and/or up to 10 pounds frequently and/or a negligible amount constantly to move objects.

Security Sensitive:

This position is a security-sensitive position pursuant to Texas Education Code §51.215 and Texas Government Code §411.094. To the extent that a position requires the holder to research, work on, or have access to critical infrastructure as defined in Texas Business and Commerce Code §117.001(2), the ability to maintain the security or integrity of the infrastructure is a minimum qualification to be hired for and to continue to be employed in that position.
