Position Summary: Provides professional and administrative support in a wide variety of situations. Provides overall management of a special project to ensure its completion within budgetary, space, and time limits to enhance the overall operation of the TCHMB project and other Dell Center projects.
Position Key Accountabilities: - Direct the completion of assigned projects and act as a liaison between departments requesting and providing services.
- Coordinate project planning with TCHMB staff under the direction of the TCHMB Executive Lead and Campus Administrator.
- Provide input for deliverables.
- Develop lists of required resources and complete orders in Coupa.
- Generate purchase orders in sequence to ensure necessary supplies are available according to schedule.
- Schedule work based on delivery dates, resource availability, and the need for contracted services.
- Maintain high standards of performance and ensure adherence to project schedules through consistent follow‑up.
- Support TCHMB staff and attendees during events, including on‑site registration, check‑in, and other logistical tasks.
- Assist with TCHMB Executive Committee meetings, including scheduling, sending invitations, completing Official Function paperwork, ordering food, preparing materials, and setting up and cleaning up meeting spaces.
- Support departmental HR activities related to training, professional development, and mentoring.
- Attend institutional and departmental administrative trainings.
- Support Dell Center webinars, including scheduling, speaker invitations, tracking analytics, managing CEUs, and overseeing webinar marketing.
- Coordinate required Consultant Agreement paperwork, including Exclusive Acquisition Justification and Independent Contractor forms.
- Coordinate travel for employees and non‑employees, including arranging travel and processing expense reimbursements.
- Perform other duties as assigned.
Certification/Skills: - MS Office, AutoCAD, RS Means, Scheduling Software, ability to interpret construction drawings, general understanding of construction codes, if applicable to project.
- Experience with MS Office, Coupa, and FMS experience, preferred.
Minimum Education: - Bachelor's Degree in business administration, public administration or a related field or experience in lieu of education required.
Minimum Experience: - 3 years of professional work experience required.
Physical Requirements: Exerts up to 50 pounds of force occasionally and/or up to 20 pounds frequently and/or up to 10 pounds constantly to move objects.
