The Department of Surgery is seeking an Assistant Director of Administrative Services to help lead operations for a large, complex department of approximately 475 employees. This position works closely with the Director of Management Operations, focusing on process improvement, project management, and Smartsheet‑driven initiatives that advance efficiency and performance. Position Summary:

Ensures administrative support integrity including planning, coordinating, and directing business management, administrative services, and/or facilities maintenance operations. Represents the department in the absence of the leader and oversees continuity of department business operations.

Position Key Accountabilities:

1. Assists with directing and overseeing the administrative team responsible for administrative and business management activities, which include fiscal management, personnel management, space management, and liaison activities.
2. May create an effective curriculum of training for research administrative staff and ensures that staff remain knowledgeable of changes in federal and university guidelines, policies, and procedures related to research administrative management processes and tasks.
3. Ensures that department HR activities and reporting are consistent with University policies and procedures. Ensures compliance with federal, organizational and departmental policies, procedures, rules and regulations.
4. May support the hiring needs of the department. Manages HR recruitment activities including department submission of postings to institutional recruitment officers. Efficiently navigates the recruitment processes to expedite and lead the onboarding process.
5. Manages Human Resources activities for direct reports in regards to: recruiting and selection; hiring and termination, training, development, mentoring, counseling, performance evaluations, and salary planning.
6. Responsible for the design, execution, and effectiveness of a system of internal controls which provides reasonable assurance that operations are effective and efficient, assets are safeguarded; financial information is reliable and compliant with applicable laws, regulation, policies and procedures.
7. May coordinate, oversee, and direct all operational and logistic responsibilities for special events, lecture series, etc. Responsible for overseeing related financial accounts including endowment reporting requirements.
8. Develops professional relationships with peers, superiors, subordinates, and other UTHealth Houston personnel including Purchasing, Human Resources, Finance/Budget, Payroll, Facilities, Safety, and IT.
9. May assist with the evaluation and preparation of grant proposals and budgets, monitors compliance with grant restrictions/regulations, and ensures appropriate reporting to granting agencies.
10. Performs other duties as assigned.

Certification/Skills:

Effective analytical skills, Microsoft Office, Peoplesoft HCM and FMS, Budget preparation/management, Executive business acumen; Excellent communication skills.

Minimum Education:

Bachelor's in Business Management/Finance or related; Master's degree preferred.

Minimum Experience:

Five (5) years of related experience preferably in an academic or healthcare administration setting including three (3) years of supervisory experience required.

Physical Requirements:

Exerts up to 20 pounds of force occasionally and/or up to 10 pounds frequently and/or a negligible amount constantly to move objects.
