Position Summary

UTHealth Houston is looking for a special administrative coordinator to work with one of our most unique programs. This role provides support with the daily operations of the Willed Body Program and includes the respectful handling, tracking, data management, and physical management of cremated remains, along with other related administrative duties. Communicates sensitively and professionally with families when discussing the status of their loved ones' remains.

You will be working with someone who knows the program inside and out and will need to work on case management responsibilities. You will call for donor forms, arrange getting cremated remains to a family, pack mailings containing these, and collect money for services. You must be very organized and have attention to detail, as these matters can be sensitive for a family.

This position will be officing out of our Jesse H. Jones library behind our Medical School Building. It is on both the Metro Bus and Rail routes. This job requires someone to be on-site most of the time. You will qualify for all UTHealth Houston benefits and have a salary. It is classified as non-exempt.

Key Accountabilities:

1. Interacts with families and potential donors in person, via email and by telephone. May also interact with medical and/or funeral service professionals.

2. Manages and maintains accurate on-site location and inventory of cremated remains while always handling cremains with dignity.

3. Maintains confidential and sensitive donor records with a high level of accuracy and strong attention to detail.

4. Performs physical tasks including lifting boxes, pushing rolling carts, bending, climbing step ladders, and reaching overhead.

Preferred Qualifications

1. Working knowledge of standard office software, including Microsoft Word, Excel, and Outlook.

2. Bachelor's Degree in business administration, or a related field. An equivalent level of education and/or experience may substitute for the education requirement.

3. Proven ability to work with sensitivity, discretion, and professionalism in emotionally challenging environments.

4. High level of accuracy and strong attention to detail.

5. Strong professional and communication skills. Must possess high emotional intelligence and the ability to communicate with empathy and clarity.

Minimum Education:

A Bachelor's Degree in a business-related field, or you may substitute required education with equivalent years of experience beyond the minimum experience requirement.

Minimum Experience:

Minimum of three (3) years work-related experience in community services or case management.

Physical Requirements:

Exerts up to 25 pounds of force on a regular basis. Frequent bending, climbing, reaching, overhead, and handling of cremated remains. Physical flexibility to safely perform required duties.

This position is a security-sensitive position pursuant to Texas Education Code §51.215 and Texas Government Code §411.094. To the extent that a position requires the holder to research, work on, or have access to critical infrastructure as defined in Texas Business and Commerce Code §117.001(2), the ability to maintain the security or integrity of the infrastructure is a minimum qualification to be hired for and to continue to be employed in that position.
