JOB SUMMARY: The Fleet Administrator at Shoppa's Material Handling is responsible for the implementation and execution of all fleet support needs, including Shoppa's FM equipment maintenance and repairs, expenses, and tracking. Additionally, this position serves as the point of contact for all day-to-day fleet-related needs, providing administrative and analysis support to the organization. This opportunity represents Shoppa's Mid America and requires professionalism, strong communication skills, attention to detail, a great attitude, and world-class service.
ESSENTIAL FUNCTIONS: - Manage FM fleet following Company policies, and regulatory and industry standards.
- Maintains accurate maintenance records of FM equipment, including the review of FM invoices for proper billing.
- Monitoring FM terms for maturity, sending customer letters when FM is expiring, and ensuring timely monthly billing.
- Tracks, controls, and reports on costs for FM equipment ownership, operating repair, and maintenance costs.
- Ensures all planned maintenance work is completed timely and properly, in the most cost-effective manner.
- Used sales coordination -
- Advising the Used Manager of units coming off lease to provide necessary data, so Used Manager can determine if we will purchase units.
- Process Used Sales orders submitted by Wholesale and Sales Reps.
- Ship-in coordination: manage all ship-in equipment, create a pipeline report, and work with the selling dealer to create the Toyota experience.
- Accurately and consistently communicate with service and sales to enter all equipment data, including non-standard items, like FM, T360, etc... (existing customer units and additions to the internal inventories).
- Warranty register all units.
- Manage Shoppa's vehicle fleet including repairs, pm, and registration.
- Communicate and escalate to peers and Manager, as required, to facilitate a positive work environment and a problem-solving mentality.
- Other duties, as assigned.
Qualifications QUALIFICATIONS: - 2-5 years' experience in fleet management
- High School Diploma required.
- Experience in SAP, MS Navision, MS Office Suite (Proficient- Word, Excel, Access, etc.)
- Positive attitude, well-groomed professional appearance required.
- Great customer service and attention to detail
- Excellent organizational and time-management skills
- Ability to establish and maintain working relations with internal and external customers.
- Strong presentation skills required
