Position Summary:

The Human Resourced team of Rice University is seeking a HR Records Analyst to analyze Human Resources transactions for correctness and enter new or changed information into the HR Information System. This position will work closely with department administrators/Human Capital Management Initiators (HCMIs), Payroll, Benefits, and other campus partners to resolve issues and advise on routine Human Resources record/data questions.

In addition, the HR Records Analyst will maintain/organize personnel transactions to ensure current and accurate employee fields, assist in regular data audit projects, and provide metrics on employment data.

Workplace Requirements: For the first six months, this position will be fully on-site, with all duties performed in person at Rice University. Following this period, the hiring team will evaluate the potential for a hybrid work arrangement that balances on-campus presence with remote flexibility to support collaboration. In accordance with Rice Policy 440, all work arrangements are subject to change.

Hourly Hiring Salary Range: $20.00 to $21.00

Requirements
  • Associate's degree
    • In lieu of the education requirement, additional related experience, above and beyond what is required, on an equivalent year-for-year basis may be substituted
  • 3 years of related information system experience
    • In lieu of the experience requirement, additional related education, above and beyond what is required, on an equivalent year-for-year basis may be substituted
  • Skills
    • Exceptional attention-to-detail and organizational skills with the ability to establish priorities, organize work, and meet deadlines
    • High level of critical thinking to identify alternative solutions
    • Hands-on record maintenance or related administrative experience managing highly detailed records or data
    • Excellent communication skills both oral and written
    • Strong customer service focused interpersonal skills
    • Demonstrated ability to maintain confidentiality and effectively handle highly sensitive and personal information with sound judgement, tact and discretion
    • Computer skills including Microsoft Office suite and the ability to quickly and effectively learn systems used in HR (Oracle, Guardian, HireRight, etc.)
    • Possess strong critical thinking skills to analyze information, solve problems, and make well-informed decisions

Essential Functions
  • Analyzes and processes routine to complex personnel actions to ensure accuracy and identifies critical changes that should be made based on these actions
  • Reviews and identifies impacts on employment status, benefits, and pay and communicates to business owners or campus partners of critical HR personnel actions needed
  • Enters data for new or existing HR records in the HR information systems and/or other related business programs
  • Provides administrative support in Human Resources by assisting to maintain certain reports on metrics reflecting employment data for campus partners
  • Participates in internal audits to ensure HR data is accurate and maintains data integrity of Human Capital Management (HCM) records in the HR Information System
  • Assists with creating, updating and maintaining internal business process documentation as well as resources and training materials for campus partners
  • Participates in systems, data and records management activities, including assisting with quarterly system testing, data cleanup, and the testing and implementation of process changes
  • Serves as a point of contact for administrators, department heads, line managers, HCM initiators, and division approvers, advising on HR processes, policies and procedures, and first-tier level HRIS issues
  • Performs other duties as assigned

Preferences
  • 1 or more years of related human resources information system experience
  • Experience in higher education
  • Experience with Oracle HCM Cloud
  • Experience with end-user troubleshooting, issue remediation, technology assistance requests
  • Experience in human resources, data/records management, or other closely related field
