Position Summary: The Student Center Administrative Coordinator will greet visitors and manage the office environment and resources, while also providing administrative and operational support to the staff of the Student Center team. Primary duties include assisting with the setup for Student Center meetings and events, distribution of purchasing cards, financial processing, and other administrative tasks. The role will aid in monitoring and reconciling the Student Center budget statements, including resolving discrepancies. The Administrative Coordinator will also help with general logistics and support for the event risk management process, including scheduling meetings and verifying volunteer training statuses for events.

Workplace Requirements: On-campus position: This position is exclusively on-site, necessitating all duties to be performed in person at Rice University, 40 hours a week, 8: 30 a.m. - 5: 00 p.m., Monday through Friday (with lunch breaks). Per Rice policy 440, work arrangements may be subject to change.
Hiring Range: $21.00 - $22.79 hourly, dependent upon qualifications and experience
*Non-Exempt (hourly) positions under FLSA are eligible for overtime.
Minimum Requirements: - Associate degree
- In lieu of the education requirement, additional related experience above and beyond what is required may be substituted on an equivalent year-for-year basis
- 3+ years' experience in an administrative setting

- Proficiency in utilizing Google Suite products (i.e., Google Docs, Sheets, etc.)
Essential Functions: - Serves as the first point of contact for the Student Center by greeting visitors, answering phone calls, and responding to emails and inquiries
- Provides administrative support to the Executive Director of the Student Center
- Supports Student Center staff with administrative functions, including but not limited to scheduling assistance, and data collection, entry, and analysis
- Acts on behalf of the Student Center to identify and resolve problems that are administrative in nature
- Provides support for Student Center staff-led meetings and events
- Composes documents for front office use to assist with frequently asked questions or needs of visitors; performs research, editing, and fact-checking
- Creates and makes recommendations on complex reports and spreadsheets
- Oversees and processes a variety of financial transactions; produces, monitors, and reconciles budget statements; researches, identifies, and resolves discrepancies
- May assist with special equipment requests and/or vendor selection
- Coordinates office and storage organization and/or moves
- Provides general logistics and support for the event risk management process, including scheduling meetings and verifying volunteer training statuses for events
- Analyzes and reviews material and extracts pertinent information for briefing purposes
- Performs human resources transactional support by assisting with training logistics and ordering workstation supplies
- Performs other duties as assigned
Additional Functions: - Maintains the Student Center main office, which includes keeping the area tidy, tracking and sorting mail, and ordering and restocking supplies as needed
- Assists club student leaders through the distribution of purchasing cards and completion of required financial forms, including check requests, deposits, and balance transfers as needed
- May supervise and train student workers, including scheduling, assigning, and prioritizing workloads, setting appropriate deadlines, and reviewing work for quality and timeliness
- Helps take meeting minutes
- Occasionally, attendance at after-hours departmental events on or off campus may be required
