Position Overview Oria is seeking a compassionate, organized, and dependable Patient Care Coordinator to join our administrative and patient experience team. This role focuses on continued care for existing patients, including coordinating appointments, verifying insurance coverage, managing patient inquiries, and addressing administrative needs that may affect ongoing treatment. You will help patients stay informed, connected to their providers, and supported throughout their care while collaborating with clinical and administrative teams to promote continuity of services. Candidates residing in the Killeen or San Antonio area are encouraged to apply. Your location will determine your assigned office: Killeen-area employees will work at our Killeen office, and San Antonio-area employees will work at our San Antonio office. This position includes both in-office and remote work based on operational needs. Bilingual English/Spanish candidates are highly encouraged to apply. Key Responsibilities Continued Patient Care Coordination: Help existing patients navigate ongoing administrative needs, complete required paperwork, and connect with the appropriate provider or staff member. Appointment Scheduling: Schedule, reschedule, and confirm ongoing appointments for therapy, psychological evaluations, medication management, and other services. Coordinate with providers to address scheduling needs and minimize interruptions in care. Patient Communication: Respond promptly to calls, emails, and messages. Provide accurate information about appointments, office procedures, and next steps in continued care. Route clinical questions to the appropriate staff. Patient Follow-Up: Contact patients regarding appointment reminders, missed visits, incomplete paperwork, and outstanding administrative needs. Help patients reconnect with care when scheduling gaps occur. Insurance Verification and Authorization Support: Verify insurance eligibility and benefits, identify coverage changes, and accurately document findings. Gather required documentation and coordinate authorization requests with the appropriate team. Billing Support: Assist patients with co-pay and outstanding balance questions, process payments according to clinic procedures, and route billing concerns to the billing department. Documentation: Maintain accurate patient records and promptly document communications, scheduling updates, insurance verification, and administrative activities in approved systems. Team Collaboration: Work closely with providers, office leadership, and billing staff to address barriers and support continuity of care. Confidentiality: Protect patient information and follow HIPAA requirements and Oria policies during both in-office and remote work. General Administrative Support: Assist with scanning, faxing, filing, document routing, and other administrative duties related to patient care as assigned. Responsibilities may be added, modified, or reassigned at the supervisor's discretion. Qualifications High school diploma or equivalent required. At least one year of administrative, customer service, patient coordination, or scheduling experience, preferably in a healthcare or behavioral health setting. Insurance verification experience required, including verifying eligibility and benefits and documenting coverage information. Strong verbal and written communication skills with a professional, empathetic approach. Excellent organization, attention to detail, and follow-through. Ability to multitask and manage priorities in a busy healthcare environment. Proficiency with Google Workspace, including Gmail, Google Docs, Google Sheets, Google Drive, and Google Calendar, along with web-based applications. Experience with electronic health records or patient scheduling systems preferred. Familiarity with patient confidentiality and HIPAA practices. Ability to work independently and collaborate effectively with clinical and administrative teams. Bilingual proficiency in English and Spanish strongly preferred but not required. Hybrid Work Requirements Reside in the Killeen or San Antonio area and be able to commute to the corresponding Oria office. Reliable internet access and a quiet, private workspace for remote work. Consistent availability during assigned working hours. Ability to maintain patient confidentiality and meet communication and productivity expectations in both settings.
