Job Title: Medical Office Receptionist Job Type: Full-Time / Part-Time Job Summary: We are seeking a professional, organized, and friendly Medical Office Receptionist to join our team. The ideal candidate will be the first point of contact for patients, providing exceptional customer service while ensuring smooth operations in a busy medical office. This position requires strong communication, multitasking abilities, and a dedication to providing patients with a positive experience. Key Responsibilities: Answer incoming calls in a timely and professional manner. Monitor voicemail and return calls as needed. Create a welcoming atmosphere for patients and their families. Resolve patient concerns or direct them to the appropriate person for resolution. Greet patients, schedule appointments, and direct calls to the appropriate staff members. As well as handle any patient inquiries about office hours, procedures, insurance, and general information. Schedule patient appointments, ensuring accurate entry of appointment details in the system. Confirm upcoming appointments and follow up with patients to reduce no-shows. Reschedule appointments and manage cancellations, offering alternative times when necessary. Verify and update patient information, including personal details, medical history, and insurance information. Assist patients in completing necessary forms, providing directions, and answering questions. Ensure accurate data entry of patient information into electronic health records (EHR) or paper charts. Prepare patient charts, collect required documents, and organize files as needed. Assist with understanding insurance coverage and billing inquiries. Coordinate with insurance companies to obtain pre-authorizations and approvals as needed. Relay messages from patients to healthcare providers and other staff members in a timely manner. Manage patient wait times and ensure efficient flow of appointments. Follow all HIPAA (Health Insurance Portability and Accountability Act) regulations to maintain patient confidentiality. Adhere to office policies and procedures to ensure compliance with healthcare regulations. Assist with other clerical tasks as needed, including managing office supplies, stocking, handling mail, and keeping the facility organized and clean. Other tasks as assigned. Provide general office support and collaborate with other team members to improve workflow and patient care. Required Qualifications: High school diploma or equivalent required. Prior experience in a medical office, healthcare setting, or customer service is highly preferred. Ability to multitask and stay organized in a fast-paced environment. Excellent communication and interpersonal skills. A compassionate, friendly, and patient-focused demeanor. Preferred Qualifications: Experience with medical billing and coding. Familiarity with insurance verification and pre-authorizations. Knowledge of medical terminology and basic office software Previous experience using EHR or practice management software (e.g., Epic, Cerner, NextGen).
