Your Role We are seeking a highly organized and adaptable
Executive Administrative Coordinator to provide direct support to the President and senior leadership of our growing manufacturing company. This role is ideal for a proactive professional who thrives in a fast-paced environment, enjoys variety in their day-to-day tasks, and takes pride in ensuring high quality work. Position is located on-site at our Northwest Houston office /facility.
Position Overview The
Executive Administrative Coordinator plays a pivotal role in supporting the President and senior leadership by executing a wide range of administrative functions with precision and confidentiality a needed. This position will assist with communications, calendar management, and cross-departmental coordination, requiring exceptional organizational acumen and the ability to anticipate needs in a fast-paced manufacturing environment. Responsibilities include independently managing complex schedules, coordinating company events, preparing and safeguarding sensitive documentation, and ensuring seamless execution of executive directives. The role demands a high degree of discretion, initiative, and adaptability, as well as the capacity to manage competing priorities, navigate shifting deadlines, and maintain operational continuity across all levels of the organization.
Key Responsibilities - Manage calendars for the President and senior managers, schedule meetings and appointments independently
- Coordinate internal and external programs, events, and conferences, including logistics, catering, speaker arrangements, and budget tracking
- Prepare and maintain official records such as meeting agendas, minutes, resolutions, and legal filings in compliance with regulatory requirements
- Draft, transcribe, and manage confidential correspondence, reports, and presentations
- Create and maintain databases, spreadsheets, and distributor contract logs
- Arrange complex travel plans and itineraries; compile documents for travel-related meetings and process expense reports
- Support meeting logistics including presentation preparation, audiovisual setup, catering, and post-event feedback
- Submit receipts, prepare purchase orders, and manage corporate credit card transactions
- Assist employees with travel documentation including visa applications and passport renewals
- Maintain office supply inventory, order business cards, and coordinate departmental lunches
- Prepare and distribute internal communications and administrative support such as office announcements and service award recognitions
- Assist with updates to organizational charts and other administrative projects
- Serve as a notary public or be willing to obtain certification
- Assist Human Resources with various administrative tasks
Qualifications - Proven experience in executive-level administrative support
- Strong organizational and multitasking abilities
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Ability to maintain confidentiality and exercise sound judgment
- Flexibility and adaptability in a dynamic work environment
- Notary public certification (or willingness to obtain)
