Position Description

This position provides general secretarial and administrative support for Kinder Morgan Energy Partners operations with particular emphasis on accounts payable. This includes screening and routing of mail and phone calls, receptionist duties at the SACROC field office, accounts payable processing, maintaining records and files, memos and reports as directed by supervisor. A key component of this position is to use the Ariba/Lawson system to process field invoices for payment.
Position Requirements

Main Responsibilities:
• General secretarial duties including routine copying, mailing, and faxing.
• Inputs field invoices into the Ariba system including all related activities such as Lawson, PAWS and AP problem research.
• Distributing contractor work tickets for signature and collecting for vendor pickup when signed.
• Serves as department focal point for Lawson AP questions, training and conflict resolution.
• Prepares correspondence, compose memos and reports as directed by supervisor.
• Responsible for receiving/screening incoming calls on multiple lines and greeting/screening people that come into the field office.
• Responsible for meeting and event planning, which includes quarterly meetings, on/off site meetings, conference calls and assisting with coordinating documents and materials needed for function or meeting.
• Composing and distributing weekly on call list.
• Organize and maintain front reception area, break room and conference rooms.
• Setup new Vendors and process changes for existing vendors using Ariba system.
• Provides back-up/assistance to Operations Administrator as needed.
• Consistently maintain and demonstrate a high regard for personal safety, for the safety of company assets, employees, and the general public.

Education:
High School diploma or equivalent.

Required Qualifications:
A minimum of one to three years administrative/secretarial experience.
• Excellent word processing, grammar, punctuation and spelling skills; accuracy is crucial.
• Proven organizational, administrative, interpersonal and communication skills.
• Excellent PC skills; knowledge and proficiency in Microsoft Word, Excel, PowerPoint, and Outlook are required.

Competencies, skills, and abilities:
• Well-balanced interpersonal skills and strong verbal and written communications skills are required.
• Must be able to work under pressure while meeting critical time frames on multiple task/projects.
• Organizational skills and the ability to prioritize tasks are essential.
• Must be accountable and take direction from Managers; keep required work schedules, which include regular and predictable job attendance; focus attention on details; follow work rules.
• Must be flexible and able to work effectively in a team environment and consistently maintain a professional and respectful demeanor/attitude with co-workers, clients, vendors, and all levels of internal and external personnel.
• Must be a team player with a commitment to operational excellence.
• Must be self-motivated and capable of working with minimal supervision and/or direction.
• Must be a problem solver with the ability to find resolutions.

Preferred Qualifications:
• Excellent knowledge in Ariba and Lawson preferred.
• Knowledge of pipeline operations.

Working Conditions:

• Able and willing to work overtime, as needed.
• Majority of the work will be conducted from an office environment.
Job level and pay commensurate with experience and skill set.
