Description:
The Receptionist's responsibilities include, but are not limited to:
- Greets and assist guests, which could include outside guests, maintenance, employees, food deliveries and plant deliveries.
- Provides phone coverage for the 18 th floor, ensuring calls are routed appropriately.
- Coordinates scheduling the boardroom.
- Handles management meeting books.
- Acts as administrator for the boardroom calendar.
- Ensures orderliness of the boardroom after meetings.
- Issues parking validations for guests.
- Monitors 18 th floor cameras throughout the floor.
- Monitors and maintains office supply inventory and paper supply for the 18 th floor.
- Prepares and ensures coffee is in the boardroom Mon-Fri.
- Delivers newspapers to recipients of the 18 th floor and ensure orderliness around desk area.
- Replenishes items in areas where needed.
- Requests via email the visitors of the day from those anticipating guests.
- Maintains familiarity with company leadership, board of directors and other key stakeholders.
- Demonstrates company confidentiality.
- Maintains a positive and professional demeanor during all interaction.
- Completes various other administrative duties for the 18 th floor.
- Provides backup support to Chairman and Vice Chairman.
- Performs other tasks as requested or assigned.
The successful candidate will meet the following qualifications:
- High school diploma is required. Associates degree preferred.
- 5-10 years of experience is preferred in an administrative role, supporting executives or leadership teams in a corporate environment.
- Attention to detail and accuracy are required.
- Ability to juggle competing priorities, multi-task and be flexible in a variety of workplace situations.
- Proficiency in Microsoft Outlook and Word is required.
- Ability to handle confidential information with discretion and sound judgement is required.
- Must have excellent written and verbal communication skills, with the ability to interact professionally with a variety of stakeholders.
