Job Description

Charles R Gordon MD PA is hiring a Practice Administrator Assistant in Tyler, TX. This is a full-time position.

Practice Administrator Assistant Precision Spine Care is seeking an organized and proactive Practice Administrator Assistant to support the daily administrative and operational needs of our clinic. This position works closely with the Practice Administrator, clinical leadership, and other departments to help maintain efficient workflows, accurate reporting, and a positive experience for both patients and staff. Key Responsibilities Manage worklogs, reports, and administrative workflows to ensure timely completion and accurate documentation.Assist with claim reworks and coordinate with billing to resolve outstanding issues.Manage incoming faxes and distribute documentation to the appropriate departments.Review and follow up on patients without scheduled follow-up appointments.Prepare and maintain SharePoint reports to track clinic metrics and workflow performance.Monitor kept/no-charge reports and assist with billing accuracy.Process and coordinate VA referrals and related documentation.Coordinate medical record requests in accordance with HIPAA and internal procedures.Assist with supply ordering and inventory management.Review and manage Phreesia worklists, including patient balances and no-show reporting.Provide additional administrative and operational support to clinic leadership as needed. Qualifications High school diploma or equivalent required; associate degree or additional education in healthcare administration, business, or a related field preferred.Previous administrative experience required; experience in a medical practice, clinic, or other healthcare setting strongly preferred.Familiarity with medical office workflows, patient scheduling, referrals, billing, insurance, or prior authorization processes preferred.Strong organizational and time-management skills with the ability to manage multiple priorities.Excellent attention to detail and follow-through.Strong written and verbal communication skills with the ability to coordinate effectively across departments.Comfortable learning and working within multiple systems and technology platforms.Ability to handle confidential patient and employee information appropriately and maintain HIPAA compliance.Ability to work independently, identify workflow needs, and seek clarification or resources when needed.Adaptable and able to work effectively in a fast-paced, evolving practice environment. This is an on-site position in Tyler TX, M-F 8-5 position.
