Position Summary:
The Administrative Assistant provides administrative and operational support to leaders and team members. This role coordinates calendars, meetings, travel, communications, events, documentation, expenses, and office operations while maintaining a high level of professionalism, organization, and confidentiality.
Responsibilities include:
- Manage calendars, schedule meetings, resolve conflicts, and coordinate meeting materials and follow-up.
- Provide administrative support, including preparing documents, reports, presentations, and correspondence.
- Manage phone calls, emails, and communications with internal and external stakeholders.
- Coordinate domestic and international travel, including transportation, accommodations, itineraries, and expenses.
- Plan and coordinate meetings, events, conferences, and team activities.
- Process invoices, expense reports, purchase requests, and reimbursements; assist with budget tracking.
- Maintain electronic and physical records, files, databases, and administrative documentation.
- Coordinate with vendors, service providers, and internal departments.
- Monitor office supplies, equipment, and maintenance needs.
- Support special projects and cross-functional initiatives.
- Handle confidential information with discretion and sound judgment.
- Manage multiple priorities and deadlines while providing proactive, high-quality support.
Qualifications and Competencies
- High school diploma or equivalent; relevant experience preferred.
- 5+ years of administrative or related experience preferred.
- Proficiency in Microsoft Office, including Outlook, Word, Excel, PowerPoint, and Teams.
- Excellent organizational, communication, and time-management skills.
- Strong attention to detail and accuracy.
- Professional, dependable, and customer-service oriented.
- Ability to work independently, collaborate effectively, and adapt to changing priorities.
- Strong problem-solving skills and professional judgment.
