The Human Resources Compliance Coordinator is responsible for ensuring all HR practices and policies comply with federal, state, local, and brand-specific regulations and standards. This role supports the HR risk management by maintaining accurate records, generating reports for service providers, tracking required documentation, conducting audits, and assisting with investigations. It is essential in upholding labor law compliance, health and safety standards, and HR policy integrity across the organization.

This individual will play a pivotal role in various aspects of the department, influencing team priorities and strategy, and supporting key components of day-to-day operations. Additionally, this role will contribute to the creation and execution of HR programs and projects, while also providing essential administrative support and serving as a backup to other HR team members as required.

What will I be doing?
As a Human Resources Compliance Coordinator, your will be responsible for assisting the Director with the overall management and administration of the Human Resources function to deliver an excellent guest experience and financial profitability. Specifically, you would be responsible for performing the following tasks to the highest standards:

Regulatory Compliance

• Ensure compliance with all employment laws and regulations including FLSA, FMLA, EEOC, ADA, OSHA, and local labor ordinances.

• Maintain and monitor compliance calendars for required postings, certifications, trainings, and reporting deadlines.

• Update HR policies and procedures in line with changing legal requirements and communicate updates to the team.

• Ensure accurate completion and retention of all legally required HR documentation (e.g., I-9s, W-2s, employee files).

• Coordinate annual health certificate and background check campaigns.

• Prepare annual data for AAP reports, 1165 e discrimination tests, pension plan valuation report, VETS-4212 and any other legal documentation for hotel, casino and golf operations.

Audit & Recordkeeping

• Conduct periodic internal audits of HR files, timekeeping records, benefits documentation, and other personnel-related records.

• Maintain and safeguard confidential employee records in compliance with data privacy regulations (e.g., HIPAA, GDPR if applicable).

• Prepare documentation and reports for audits, inspections, and internal/external investigations.

Monitoring of Compliance Training

• Monitor completion of mandatory compliance training programs (e.g., harassment prevention, safety training).

• Coordinate scheduling, tracking, and follow-up on employee training and certifications.

• Coordinate and assist in major certifications such as CPR and Serve SAFE, ensuring the right participants are included and that documentation is properly filed for future reference by any agencies.

• Assist in conducting compliance briefings during onboarding and offboarding.

General Human Resources Responsibilities

• Prepare, maintain and update employee records in accordance with legal and company requirements.

• Ensure compliance with labor laws, wage & hour regulations, and workplace safety standards.

• Monitor employee attendance, leaves, and timekeeping accuracy.

• Participate in internal audits and help prepare HR documentation for inspections and brand quality assurance.

• Provide general HR support.

• Support day-to-day operational efficiency and documentation.

• Support onboarding by ensuring compliance training and HR files are complete.

• Support the development and implementation of new and existing HR programs and projects in partnership with key stakeholders and peers.

• Provide broad HR support and address employment-related inquiries from team members.

• Support process improvement efforts.

• Support the work of cross-functional project teams.

• Contribute to and help drive HR projects and initiatives such as annual benefits campaigns, performance reviews, training and development, and recognition programs.

• Assist in development and implementation of HR policies to promote an efficient, compliant, and conflict-free workplace.

• Influence and support activities that drive employee engagement and talent development.

• Support employee onboarding, engagement, and exit surveys.

• Manage and respond to employment verification and unemployment claims.

• Cultivate relationships with key stakeholders and people managers to provide thought partnership and subject matter expertise on people management best practices, systems and resources.

• Learn and help administer the benefits and leaves processes utilized by employees.

• Support the utilization of data through tracking and reporting staffing, retention, attrition, and other necessary metrics to line management.

Payroll Processing Support

• Assist in preparing and processing nonexempt and exempt payrolls.

• Enter and audit timekeeping data, vacation and sick leave, and other adjustments.

• Ensure compliance with federal, state, and local wage and hour laws.

• Support distribution of pay stubs, direct deposit changes, and payroll corrections.

• Maintain and update employee records in the HRIS and payroll systems.

• Assist with onboarding and offboarding tasks related to payroll, including new hire setup and final pay.

• Process changes to tax withholding, garnishments, benefits deductions, and other payroll-related items.

• Assist in preparing payroll reports and reconciliations for accounting or audits.

• Support year-end processes and payroll audits as needed.

Support for Investigations and Disciplinary Actions

• Assist in documenting and tracking employee relations issues, disciplinary actions, and workplace investigations.

• Ensure investigative documentation is complete and stored according to legal and brand standards.

• Provide compliance support to HR leaders and department heads regarding corrective action procedures and policies.

Policy and Procedures Management

• Maintain up-to-date employee handbooks, SOPs, and HR policy manuals.

• Distribute, track, and file acknowledgments for policies and updates.

• Collaborate with legal, safety, and corporate compliance teams as needed.

• Collaborate on special and cross-functional projects as identified.

To be successful in this role the candidate must be able to demonstrate the following knowledge, skills and abilities:
  • Bachelor's degree in a business-related field with a concentration in accounting, required
  • 2-4 years of experience on compliance, audits and/or metrics handling
  • Expert knowledge in calculation spreadsheets such as Excel to manipulate data, create formulas, generate reports and analyze metrics, among others.
  • Experience with HRIS, document management, and compliance tracking systems.
  • Knowledge of employment laws and regulations applicable to hospitality or service industries, preferred.
  • Strong organizational and analytical skills; ability to spot inconsistencies or risks.
  • High attention to detail, integrity, and discretion when handling confidential information and at all times.
