Position: Sales & Marketing Coordinator
Location: Bryn Mawr, PA

Position Summary:

At ESF, the Sales & Marketing Coordinator is referred to as an Admissions Coordinator and is responsible for promoting ESF's camp programs and selling weeks of camp to prospective and alumni families. The Sales & Marketing Coordinator sells ESF programs in-person, virtually and over the phone, utilizing various strategic digital (email, social media, website, etc.) and print (brochures, direct mail, signage, etc.) marketing efforts, and support current and new partnerships.


Position Objective/Purpose:

We are seeking motivated team members who believe deeply in the organization's mission and who display experience and motivation in sales, customer service, and grassroots marketing. Additionally, the Sales & Marketing Coordinator must also be capable of conducting market research, identifying sales and grassroots marketing opportunities, and building positive relationships with families and local organizations.

Position Scope Factors:

  • Promote and actively sell the day camps and residential programs offered across multiple locations in PA, CT, DE, FL, MD, NJ, and NY
  • This is primarily an in-person role working at ESF Headquarters in Bryn Mawr, PA.

Essential Job Responsibilities:

  • Implement and conduct call campaigns to alumni and prospective parents. Must be comfortable making 50+ calls per day and up to 200 per week during major sales campaigns (seasonal).
  • Make outgoing calls to connect with returning families and new customers.
  • Field phone calls and online inquiries from prospective camp families, respond to their inquiries, promote ESF's programs and facilitate enrollment.
  • Assist the Customer Engagement Team by answering phone calls from enrolled families.
  • Assist with developing new partnerships with area schools, program partners, school districts, corporations, not-for-profits, youth leagues and other organizations to build strong sales opportunities and partnerships.
  • Participate in promotional and customer service events including but not limited to Open Houses, Camp Fairs, Family Orientations and Parent Panels.
  • Conduct tours of the camp facilities for prospective customers when applicable.
  • Effectively utilize ESF's online enrollment and lead tracking systems. Assist with selected promotional mailings, digital and social media campaigns.

Experience Requirements:

  • Minimum of two-three (2-3) years of prior experience working in a high-volume sales and customer interfacing role, preferably selling/promoting seasonal or recreational programs in person and over the phone.
  • Ability to sell camp effectively using a variety of sales skills.
  • Experience performing local, grassroots marketing efforts.
  • Experience organizing and working on promotional events.
  • Strong organizational skills with attention to detail and ability to handle multiple priorities.
  • Ability to complete tasks with critical deadlines.
  • Excellent customer service, problem-solving and decision-making skills.
  • Exceptional verbal and written communication skills as well as telephone etiquette skills.
  • Must be self-motivated with strong closing skills.
  • Proficient in Microsoft Excel, Outlook, and Microsoft Word.
  • Previous experience using online enrollment and lead tracking systems.

Education Requirements:

  • Bachelor's degree
  • Formal sales and/or customer service training preferred.
  • Experience working with CRM and POS systems such as HubSpot, Salesforce, and Notion.

Reporting Relationship(s):

  • Reports directly to the Director of Admissions and at times takes direction from the Customer Engagement Director and Marketing Director.
  • Collaborates at times with members of the Customer Engagement Team, Marketing Team, and Site Leaders.

Working Conditions and Physical Requirements:

  • Ability to work on the phone up to 6-8 hours per day at certain times of year.
  • Willingness to travel to ESF's sites and markets (occasional, not frequent), as far south as Maryland and as far north as Connecticut.
  • Occasional in-person interaction with prospective camp parents and other local marketing prospects.
  • Close collaboration with Customer Engagement, Marketing and, at times, Site Leaders.
  • Working occasional weekend and evening events will be required.
