Swanson Group Human Resources
Position Title: Human Resources Administrator (Salary Exempt)
Reports to: HR Manager
Department: Human Resources
Hours per shift: Monday – Friday; Typical schedule is 7: 30am-4: 30pm but, daily hours need to be flexible based on manufacturing location needs. This occasionally includes safety trainings that are outside normal working hours.

Position Purpose: Assists HR Department with all administrative processes and information systems. Will function in various roles and responsibilities depending upon the current workload and activities
Position Functions: Reliance on personal experience and judgment to plan and accomplish goals is expected. Functional or topic specific work is completed under limited supervision. May have limited responsibilities for supervision of employees. All assignments and tasks will be executed at the Glendale location.
Essential Functions* These duties are designated as ADA Essential Functions and must be performed in this job. |
Safety: Follow all company safety policies and assist with employee training as needed. Participate in safety committee, safety audits, and safety walkthroughs. |
Documentation: Assures personnel records, medical, and other confidential files are secure, separated, sorted and filed as necessary by law. |
Recruitment: Coordinate with leadership team and HR team to assist with all external job postings, tracking of applications, scheduling and conducting interviews. Coordinating background checks, pre-employment drug screens and physicals in accordance to AAP and company policies. |
AAP: Assist with Affirmative Action Plan reporting and compliance. |
Basic HR Administration: Data input, data tracking and data analysis of HR systems including but not limited to Dayforce, Basic Safe, Affirmative Action, Turnover reports, Discipline logs, and Employee Performance Development Plans. |
Job Posting Process: Responsible for coordinating internal job bid process to include developing posting, coordinating internal/external search options, completing job bid worksheet, assisting with selection, confirming employee documentation (PDP, attendance, seniority, discipline) awarding position, and assisting HR Mgr. with any employee requests or concerns with advancement issues pertaining to the job bid process. |
New Hire: Responsible for hourly placements, assisting with onboarding, orientatin, and tracking new hire forms (daily evaluations, JHAs, job transitions). |
Projects: Research, investigate and present data on specific topics (ex. FMLA, ADA, attendance, vacation planning, and version control). |
Communications: Maintains positive and consistent employee relations by communicating openly and honestly with all employees. Communicate well verbally, orally and in writing within the local organization and the HR group. |
Employee Benefits: Coordinates employee education and enrollment in company benefit plans. Assist employees with benefit questions and communicate benefit changes. Assist with annual Open Enrollment. |
Non-Essential Functions These duties are secondary in nature and are not classified as ADA essential. |
Assist HR/Payroll department with administrative projects, audits, data collection, and data input. |

While performing the duties of this job, the employee may be assigned to activities that require them to be in a Manufacturing environment with limited exposure to moving mechanical parts, fumes or airborne particles, extreme heat, and vibration. The employee may be occasionally exposed to outside weather conditions. Noise level in the manufacturing plant usually exceeds normal hearing conservation range of 80 dcb.
While performing the duties of this job, the employee is regularly required to talk and/or hear. The employee frequently is required to stand, walk, and sit. The employee must frequently lift and/or move up to 10 pounds.

Qualifications: Five years of general clerical experience which includes at least two years of HR Administration experience; or associate’s degree with two years HR Administration experience.
In addition to these requirements, this position requires experience with word-processing, spreadsheet, and database software; strong verbal and written communication skills and ability to communicate effectively with individuals from diverse backgrounds and cultures. Strong attention to detail and the ability to manage multiple projects and deadlines is required.
Safety: (1) Do only maintenance you are trained to do and keep all body parts out of machinery. (2) Always use our 14-step lockout/tagout procedure before doing any maintenance, clearing jams, or getting into machinery for any reason; be aware of stored energy. (3) Always use proper body mechanics (ex: don’t overreach, get help as needed to push loads out). (4) Use proper PPE (gloves, eye protection, hearing protection). (5) Be aware of and communicate with your co-worker at all times (ex: forklift driver). (6) Will be required to read and write during safety training.
