Overview

We are seeking a full-time Administrative Assistant - Aircraft Certification in our Salem, OR location. In this role, you will be responsible for performing all administrative support and service functions related to Aircraft Certification.

Essential Functions
  • Maintain Aircraft Certification document files in both paper and electronic format
  • Maintain secure STC (Supplemental Type Certificate) project files and document archivesWrite FAA (Federal Aviation Administration) letters, assign tracking numbers, and prepare data submittals
  • As necessary, assist in the following activities:
    • Review STC Certification data/ forms for completeness and accuracy
    • Assist with planning and execution of Garmin and FAA audits of the ODA
    • Assist with the coordination of Unit Member evaluation Panels
    • Assist in the tracking and filing of ODA audit corrective actions and self-disclosures
    • Assist in the preparation of training material for the ODA
    • Assist with the tracking of ODA / FAA requested metrics
  • As needed, assist in the development and release of Garmin aircraft certification related processes and procedures including ODA Procedures manual and other ISO processes
  • As needed, assist with submittals to the FAA or Foreign Civil Airworthiness Authorities, including foreign STC validations, TSO submittals and FCC packages
  • Provide general administrative support for local associates
  • Assist in the maintenance of Aircraft Certification WIKI site and training material
  • Assist in coordination of travel arrangements and expense reports for Aircraft Certification associates
  • Assist with travel and accommodations for visiting Garmin employees, vendors, customers, or certification authorities.
  • Maintain STC correspondence logs, certification data lists, inspection records, and log incoming FAA letters and electronic mail, ,
  • Communicate with other Garmin locations as needed to coordinate document management and support Aircraft Certification activities
  • Assist in the revision of document control processes related to certification
  • Maintain required group supplies, reordering new stock as needed
  • Assist in the general orientation of new associates
  • Coordinate the scheduling of conference rooms and meetings across multiple sites
  • Generate and track purchase orders and other necessary paperwork as required
Basic Qualifications
  • High School Diploma OR equivalent
  • Minimum of 5 years of administrative support experience performing a role substantially similar to the essential functions of this job description
  • Must possess demonstrated proficiency using Microsoft Word, Excel, and PowerPoint
  • Must be detail-oriented and have the ability to work proactively and effectively with minimal supervision
  • Ability to prioritize and handle multiple tasks in a flexible, fast paced and challenging environment
  • Demonstrated strong and effective verbal, written, and interpersonal communication skills
  • Must be team-oriented, possess a positive attitude and work well with others
  • Must show demonstrated dedication to providing quality customer service internally and externally
Desired Qualifications
  • Associates or Bachelors Degree in a related field
  • Experience with aircraft engineering or certification administration
  • Working relationship with the FAA
