Description:

Visitor / Guest Support
  • Physical presence at the Front desk during the business hours from 8: 00am-4: 30pm
  • Demonstrate a warm and approachable attitude by greeting employes and customers, providing clear and concise communication while presenting a friendly service-oriented demeanor.
  • Act as the first point of contact for visitors to the building, ensuring that all visitor procedures are followed, and all guests are welcomed to the site
  • Deliver exceptional guest service and create memorable experiences.
  • Resolve guest challenges promptly, informing management of significant situations.
  • Manage Planon reservations, check-ins, check-outs
  • First point of contact for employees in case of any site related question
Access Control:
  • Manage Security Expert
  • Manage Victors and Vendors check-in process and notify host of arrival
  • Reception of new employees and badge preparation.
  • Manage access control cards, issue permanent/temporary badges, track badge inventory and pre-register guests.
  • Manage system reports and its distribution
TV/Visual Presentation:
  • Prepare and maintain SE CCTV content
  • Present complex information in visually appealing formats.
Admin tasks:
  • Stationery and office supplies management
  • Receive, store, and distribute documents, mail, and courier items. Apply appropriate postage to outgoing mail. Assist in shipping and tracking couriers. Notify relevant parties of its arrival for mail collection.
  • Manage courier service as needed and coordinate activities with Receiving department.
  • Provide catering support to site members as well as other leaders as required.
  • Use the front desk phone system to answer incoming calls, provide information or redirect the caller as needed.
  • Other tasks as needed (administrative support): Parking, servicing of EE charger, site procurement.
  • Handle urgent requests and be accessible via company phone
  • Actively monitor e-mails and Team's message during business hours and address urgent requests in a timely fashion.
  • Closely collaborate with the Site Coordinator and the Site Leader
  • Attend Site Leader's/Coordinator's meeting to allow for visibility and alignment on company events run by ERN's
  • Collaboration with EA Team regarding upcoming office events and meetings
  • Provide support to CLT and CLT EA's through:
  • Assist with PPT preparations, meeting scheduling, expenses management catering and other requests as required
  • Prioritize the Executive Team needs and accordingly coordinate with EA's
  • Serve as a backup for the Site Coordinator when needed
