We are currently hiring a full-time Bilingual Receptionist and HR Administrative Assistant to join our Toronto office. This is an exciting opportunity to contribute to both our front-line operations and our HR team.


What will you do?


Reporting to the Director, Executive Support, this position serves as the first point of contact for employees, visitors, and external partners. It combines front desk responsibilities with administrative support for the President’s Office, as well as the Payroll and Human Resources departments.


Responsibilities:

  • Serve as the first point of contact for visitors and incoming calls, ensuring a courteous and professional experience
  • Manage reception area, office supplies, and incoming deliveries with attention to detail and discretion
  • Coordinate meeting room bookings for staff and building tenants; process related invoices
  • Provide administrative support to the Director, Executive Support and other executive team members
  • Assist with preparation and setup for meetings, events, and on-site gatherings
  • Prepare onboarding packages and maintain accurate employee records in HR systems
  • Support HR initiatives including benefits administration, training sessions, and employee recognition programs
  • Draft and format HR documents such as contracts, letters, and reports
  • Maintain internal staffing lists and support general HR administrative tasks
  • Participate in special projects and provide clerical support across departments as needed

What makes a successful Bilingual Receptionist and HR Administrative Assistant?

  • 1–3 years of experience in reception or office administration
  • Bilingual fluency in English and French, with clear and professional communication skills
  • Strong organizational skills, attention to detail, and ability to manage multiple tasks
  • Proficient in Microsoft Office; familiarity with SharePoint and openness to learning new tools, including AI technologies
  • Professional presence with a customer-service mindset and excellent interpersonal skills
  • High level of discretion, reliability, and confidentiality in handling sensitive information
  • Post-secondary education is an asset
  • Flexibility to support occasional events or special projects
