Description:

This position serves as the primary assistant to the Executive Director of the Advanced Radar Research Center (ARRC). This role is responsible for managing the Executive Director’s calendar; arranging and coordinating meetings and meeting logistics with both internal and external parties; managing and coordinating administrative and personnel functions within the department and college; organizing and supporting ARRC events; and representing the ARRC with the highest level of discretion and professionalism. Additionally, this position serves as the central point of contact for the ARRC.

Essential Duties:

  • Serves as a primary point of contact for departmental administrative and personnel functions.
  • Coordinates with Human Resources Department on various issues Advises on appropriate practices and processes.
  • Responsible for continuous improvement of departmental processes.
  • Assists with the development, implementation, and interpretation of policies and procedures, ensuring compliance with federal, state and university policies and regulations.
  • Coordinates and carries out projects or assignments requiring initiative, independent action and specialized knowledge or expertise.
  • Serves on committees as needed.
  • Assists in administrative functions on behalf of the ARRC Executive Director including, but not limited to, managing the director’s calendar, arranging and coordinating meetings and meeting logistics with both internal and external parties, managing travel.
  • Primary POC and coordinator for events including booking room and venue locations; purchase food and beverages and submit invoices/receipts for payment; event announcements via emails and flyers; order and maintain ARRC promotional merchandise.
  • Performs various duties as needed to successfully fulfill the function of the position.

Educational requirements:

  • high school

Desired Skills:

Required Education: Bachelor’s degree, AND:

  • 36 months of related experience

Equivalency/Substitution: Will accept 48 months of job-related experience in lieu of the Bachelor’s degree for a total of 84 months of related experience.

Skills:

  • Proficient in Microsoft Office
  • Detail oriented for accuracy of data and information
  • Highly organized and able to handle multiple projects and deadlines
  • Strong initiative to solve problems
  • Proficient writing skills for drafting correspondence, summaries, and other required reports
  • Ability to work independently

Certifications:

  • None

Working Conditions:

  • Must be able to engage in repetitive motions and communicate effectively.
  • Frequent exposure to pressure caused by deadlines and busy periods; ability to communicate, including expressing oneself or exchanging information with others; ability to use a computer daily.
  • Standard office environment

Departmental Preferences:

  • Previous OU experience
  • Previous experience with OU systems such as PeopleSoft and Concur
  • Previous experience managing an executive calendar and travel
