Description:
The Stephenson School of Biomedical Engineering (SBME) in the Gallogly College of Engineering at the University of Oklahoma has a great opportunity to join our staff as a Senior Student Program Specialist. The SBME administrative office is housed in Gallogly Hall, which opened its doors in 2019. With a new building, new equipment, and new resources, our student programs continue to grow and forge research that will help rebuild and advance society. The Undergraduate Program Coordinator will fulfill an essential role within the department to lead the undergraduate program, student engagement, and the Accreditation Board for Engineering and Technology (ABET) accreditation process.
Duties Include:
- Performing office duties and coordination in support of student programs or services.
- Maintaining files indicating student progress, letters of recommendations, transcripts, etc., as required.
- Assisting students and residents by providing information pertaining to lectures, exams, national board exams, financial aid, textbook procurement, etc.
- Interfacing with Student Services in matters concerning grades, transcripts, and student status.
- Participating in planning and implementation of orientation for new students.
- Coordinating schedules or rotations for students and/or medical residents within or outside the college or department
- Performing various duties as needed to successfully fulfil the function of the position.
- Designing, developing, implementing, and managing undergraduate student programs.
- Serving on committees and acting as liaison between offices on and off campus.
- Planning and overseeing special projects
- Researching, collecting, and analyzing data or information pertinent to undergraduate student programs
- Counseling students, facilitating support groups, and advising student organizations
- Creating and conducting workshops
- Updating the department's webpages with new policies and procedures
- Traveling to local schools, community colleges, and technology centers
- Supporting student advising in coordination with college advisors and SBME faculty
- Meticulous document organization and management of the ABET accreditation process
- Planning, supporting, and executing undergraduate student retention efforts, and supporting college undergraduate student recruiting efforts
- Assisting the Chair of Undergraduate studies
- Organizing and facilitating student events
- Creating flyers and advertisements for department events, etc.

Desired Skills:
Required Education and Experience: High School diploma or GED, AND:
- 12 months of office/clerical experience.
Skills:
- General office skills such as phone, copying, faxing, filing, and handling mail
- Proficient in Microsoft Office Suite (Outlook, Excel, and Word).
- Ability to build rapport with students.
- Ability to work as a team member.
- Ability to multitask.
- Flexibility in day-to-day duties and priorities.
- Ability to communicate effectively and professionally.
- Detail oriented for accuracy of data and information.
- Highly organized and able to handle multiple projects and deadlines
- Knowledge of social media posting and willing to complete training if needed.
- Ability to accurately read and understand written materials and instructions.
- Able to produce reports and complete work within deadlines.
- Able to work well with interdepartmental teams and initiatives.
- Basic math skills
- Must be able to perform basic data analysis.
Certifications:
- Valid driver's license required for local travel

Departmental Preferences:
- Minimum of 18 months of experience in student services or academic environment.
