Description:

The Gene Rainbolt Graduate School of Business is located in a 27, 000-square-foot flagship facility in the heart of Oklahoma City at OU's University Research Park on the Health Sciences Center campus. Strategically anchored between the downtown energy and financial sectors to the west and the growing healthcare and aerospace sectors to the east, the facility is home to OU's MBA programs and the Price Executive Academy. Reporting to the Senior Director, the Operations Coordinator will be an integral part of a high-functioning team supporting a high-quality experience for incoming and current MBA students, faculty, business executives, and staff. This position is crucial in keeping the MBA Programs operating smoothly by providing administrative support to the Executive Director and Senior Director, managing department budgets, planning and executing events, handling purchasing responsibilities, and serving as the facility manager. This role is ideal for a detail-oriented professional who thrives in a dynamic environment and seeks opportunities to contribute to the success of an innovative graduate business program. This is an in-person position located in Oklahoma City. Occasional required evening and weekend work hours will be required.

Essential Duties:

  • Assumes day-to-day responsibility for organizing and coordinating specialized clerical functions.
  • Answers questions, provides information, and handles complaints for internal and external customers.
  • Updates office procedures for a more efficient operation when necessary.
  • Assists with preparation of budgets, controls delegated budgetary expenses and maintains budgetary records.
  • Establishes and maintains filing systems including confidential documents.
  • Coordinates departmental personnel and payroll issues.
  • Schedules appointments and makes travel arrangements.
  • Collects and disseminates information for internal and external customers.
  • Performs other related duties as assigned.

Educational requirements:

Desired Skills:

Required Education and Experience: High School Diploma or GED, AND:

  • 12 months office, clerical, or administrative experience.

Skills:

  • Basic math skills.
  • Advanced computer skills with wide knowledge of business software.
  • Proficient in Microsoft Office.
  • Detail oriented for accuracy of data and information.
  • Highly organized and able to handle multiple projects and deadlines.

Advertised Physical Requirements:

  • Communicate effectively.

Department Preferences:

  • Experience with OU systems such as Taleo and Concur.
  • Experience in higher education administration.
  • Facility management experience.
  • Strong event coordination or logistics background.
  • Experience with vendor/contract management.
  • Experience with budget management and reconciliation.
