The Fred Jones Jr. Museum of Art is an integral part of the Norman campus of the University of Oklahoma. The purpose of the FJJMA is to transform lives through experiences with art. The Manager of Retail and Rentals will contribute to making the Fred Jones Jr. Museum of Art a community cornerstone by working diligently to ensure positive visitor experiences in the Museum’s store and venue spaces. Venue rentals offer unique spaces for events that foster a deeper connection between the museum and its visitors, while the store provides a welcoming and engaging atmosphere for cultural exchange and comradery. The Manager of Retail and Rentals works closely with the Head of Finance and Operations and the Director to ensure best practices that align with the Museum’s purpose.
Essential Duties:
Management of Retail & Rentals
- Sell merchandise over the counter and maintain order and cleanliness of beverage and food areas.
- Purchase, inventory, stock, and display merchandise, food, and beverages.
- Maintains a perpetual computerized inventory system for merchandise sales and controls.
- Coordinates and conducts year- end (annual) physical inventory as required by university accounting and auditing procedures, and other physical inventories as needed.
- Ensure all equipment is properly maintained and functional.
- Maintains appropriate accounting records of sales, cash handling, sales tax, merchandise purchases, and administrative budgets, projections, and expenses in conjunction with museum’s Head of Finance and Operations.
- Market the Museum’s sales shop, in conjunction with the Marketing and Communications Coordinator.
- Ensures deposits, sales tax report, and general sales receipts and reports requirements are met each business day.
- Maintain detailed, organized files for operations, vendors, and sales.
- Market facility rentals to campus and community groups in conjunction with Marketing and Communications Coordinator
- Coordinate staff schedules to ensure rental events and store are sufficiently staffed. This may include regular public hours, special events, holidays, and special programs as needed.
- Ensure that Retail & Rental personnel are properly trained and adhere to established health and safety practices associated with assigned tasks with museum’s Head of Finance and Operations.
- Attend special events to provide audio-visual support for special events.
- Develop and execute standard operating procedures.
- Oversee the organization and use of rental management spaces (catering kitchen, supply storage).
Partnerships and Community Engagement
- Work with Museum staff to ensure all rental events are properly staged and staffed.
- Develop on-campus and community partnerships to expand customer base for retail and rentals.
- Forge partnerships with local vendors and negotiate vendor contracts to secure beneficial terms for the Museum
- Provide cross departmental support for exhibition and programming events occurring in rental spaces.

Required Education & Experience: High School Diploma or GED, AND:
- 48 months retail or customer service experience
Certifications: None
Working Conditions:
- Physical: Ability to engage in repetitive motions. Stand and sit for long periods of time.
- Environmental: Retail store, standard office, and event venues. Frequent exposure to pressure caused by deadlines and busy periods. Requires contact with other departments, university officials, customers, vendors, and stakeholders.
Departmental Preferences:
- Bachelor's Degree
- 2 years’ working in retail management and/or special event coordination. Experience may be combined between these two areas.
- Knowledge of Microsoft Word, Excel, Outlook, and Teams
- Excellent communication and interpersonal skills to collaborate with colleagues, vendors, stakeholders, and campus departments.
- Excellent customer service skills.
- Demonstrated creativity to solve complex problems and increase customer engagement.
- Expert knowledge of inventory management software and point of sale systems.
- Knowledge of project management software, such as Asana or Monday.
- Experience with operating and troubleshooting audio/visual technology.
- Ability to quickly learn new hardware technology and software platforms.
- Ability to work independently and collaboratively.
- Excellent organizational and time management skills.
- Demonstrated ability to adapt to unforeseen circumstances.
- Ability to communicate with supervisor, employees, and colleagues in a clear, direct, and professional manner.
- Willingness to work occasional evenings and weekends.
Supervision: Up to four part-time Retail & Rental Assistants, including temporary (PEAK) and student workers.
Reports to the Head of Finance & Operations.
