Description:

The Engineering Pathways (EP) program in the Gallogly College of Engineering (GCoE) seeks an organized, collaborative staff member to join the academic and student support team. The EP program is a cornerstone of the GCoE commitment to graduating engineers to meet the demands of the state and region. Our faculty and staff are united in creating an educational system where all students can thrive. The successful candidate for this position will report to the Executive Director (ED) of Engineering Pathways, while providing professional administrative and implementation support to the program faculty and student support programs under the EP banner. The coordinator also will interact frequently with partners within the college, across campus, and in the community.

The Engineering Pathways program is home to first-year engineering, second-year professional responsibilities development, the Engineering Catalyst program, outreach and recruiting programs, GCoE undergraduate research programs, and other student co-curricular and support programs. The Program Coordinator will support these and other programs launched toward our objective of facilitating pathways into and graduation with engineering degrees. The new coordinator will be an essential member of the team serving students with an ethos of care.

Job Duties:

  • Support students by scheduling meetings with Engineering Pathways Faculty, responding to emails on Engineering Pathways activities,
  • Serve as the first point of contact in the EP Hub for visitors including current and prospective students and guests
  • Monitor and maintain application processes and databases for EP programs
  • Support hiring processes for student employees
  • Coordinate logistics and assist in correspondence related to and implementation of EP programs
  • Maintain program and student records that may be confidential in nature
  • Maintain inventory and purchase of EP program materials and supplies
  • Assist EP faculty and other staff with event organization and logistics
  • Prepare or support preparation of reports, proposals, and other documents
  • Create and maintain an archive of meeting notes and major activities of EP for annual reporting
  • Assist in creating efficient and effective office policies, procedures, and schedules for an orderly functioning unit
  • Perform related duties as assigned to successfully fulfill the function of the position.

Travel is expected to be < 5% of the workload.

Required Education: Bachelor's degree

Equivalency Substitution: Will accept 48 months of equivalent experience in lieu of a bachelor's degree

  • Proficient knowledge of Microsoft Office Suite (Outlook, Excel, and Word)

Advertised Physical Requirements:

  • Physical: sit and/or stand for long periods of time. Ability to engage in repetitive motions. May be required to bend, lift, stoop, and carry. Occasional lifting or moving of office and program supplies required, generally under 30 lbs. Must be able to see including color, depth perception and clarity.

  • Environment: Standard office environment. Frequent exposure to pressure caused by deadlines and busy periods. Ability to work effectively with a wide range of constituencies.

Department Preferences:

  • Valid driver's license

  • Intermediate to advanced proofreading and composition skills for composing reports, web and marketing materials

  • Experience navigating and maintaining databases
  • Experience with higher education environment
  • Social media campaign experience valued
  • Exposure to budget processes
  • Ability to work with Adobe creative apps and web development

Supervision: No supervisory duties.
