Description:

Associate Director - Printing and Mailing Services

The Associate Director of Printing and Mailing Services at the University of Oklahoma oversees daily operations, including staff supervision, policy development, and quality assurance. This role supports the Director in financial analysis and expenditures while preparing regular reports for leadership. The Associate Director develops and enforces policies in compliance with university and federal guidelines and manages hiring and performance. They also lead special projects, support strategic planning, and build partnerships to advance the department’s mission.

Essential Duties:

  • Plans, directs, or coordinates the day-to-day operations of the program including oversight, manages staff, assists with financial analysis, and prepares reports and policy development.
  • Provides direct administrative management and oversight to include but not limited to staff management, inventory management, and quality assurance improvement.
  • Develops, recommends, and implements administrative and operational policies in compliance with the University and state guidelines.
  • Maintains policy and procedure manuals and documents processes.
  • Supervises the activities and performance of the department's staff to include but not limited to hiring, training, performance management and employee discipline and/or termination.
  • Assists in financial responsibilities including budgeting and approval of expenditures.
  • Analyzes departmental financial procedures.
  • Makes recommendations for changes and develops strategy for change.
  • Prepares monthly reports on activities of the operation and presents to management.
  • Manages and participates in a variety of projects to ensure quality, service, and operational goals are achieved.
  • Plans and develops internal and/or external partnerships to market and further the program and mission.
  • Performs various duties as needed to successfully fulfill the function of the position.

Educational requirements:

Desired Skills:

Required Education and Experience: Bachelor’s degree in Management, Business Administration or related field, AND:

  • 60 months of related experience in a university or printing/mailing environment or equivalent administrative position.

Knowledge and Abilities:

  • Demonstrated administrative leadership and expertise to build effective partnerships, promoting a team approach to strategic planning and the development of a full continuum specialty program.
  • Highly developed expertise in quantitative analysis to support definition and advancement for department's goals and objectives.
  • Demonstrated success in building and maintaining positive, effective, and productive relationships with leadership and administration.
  • Ability to act as liaison between the administration, staff and/or vendors.
  • Ability to provide leadership to establish priorities and to develop and implement solutions.
  • Ability to understand individual viewpoints and needs and work strategically.
  • A high orientation to detail with proven analytical skills.

  • Standard Office Environment

Departmental Preferences:

  • Experience in a leadership role for a large Printing Production and Mailing organization.
  • Experience in a University In-Plant also a plus.
