Description:

The Shared Business Services Center (SBSC) seeks an effective change leader to serve as Senior Administration Manager. This candidate must be strongly focused on process improvement and building strong customer relationships. This position provides direction and leadership for the SBSC and are responsible for cultivating a learning organization that promotes a culture focused on customer service, high quality, and continuous improvement. They will promote professional development, learning opportunities, and cross-training. This includes ensuring SBSC employees are able to support the unique needs found within a higher education institution. This person is responsible for ensuring the implementation of appropriate business processes and internal controls within the SBSC, fostering strong relationships with university partners, and cultivating a positive and trustworthy reputation for the SBSC.

Essential Duties:

  • SBSC OPERATIONS: Responsible for the overall operation, administration, and performance of the department to include but not limited to full responsibility for accounting duties, financial analysis, payroll coordination, budget and report preparation, and policy development.
  • Manages all accounts for the department. Reconciles accounts monthly and creates cost spending certification reports. Monitors and ensures money is spent correctly. Analyzes departmental procedures.
  • May act as the payroll coordinator for the department or assist the payroll coordinator by providing oversight. Reviews, edits, and approves employee timesheets, tracks leave, and special payments.
  • PRIMARY LIAISON/CONTACT WITH DEPTS: Serves as liaison to coordinate inter-and intra-departmental administrative functions. Develops and maintains relationships with the departments supported by SBSC. Responsible for consistent and effective communication with SBSC’s campus partners whether in departments receiving SBSC support, other central offices, or any other member of the university community.
  • ONBOARD NEW DEPTS: Produce and facilitate the materials and provide direct support to departments being onboarded for SBSC services. Ensure seamless transitions to SBSC support and communicate directly with department chairs/directors/key staff throughout the onboarding process.
  • SBSC STAFF MANAGEMENT & DEVELOPMENT: Oversees a team of ~60+ and directly supervises the leadership team including the financial manager, travel manager, payroll manager, financial analysis manager, and office manager.
  • Responsible for hiring, firing, training, conducting performance appraisals, disciplining, delegating tasks, overseeing work, and staff development. Anticipates staffing needs by analyzing workflow and strengths of employees.
  • REGULAR ANALYSIS OF PRODUCTIVITY AND KPIs: Oversees the production of regular productivity reports, proposing and evaluating KPIs for SBSC specialists and managers.
  • ENSURES EFFICIENT OPERATIONS: Develops departmental policy by analyzing current procedures, work issues, and current events. Maintains policy and procedure manuals and documents process.
  • PARTNERS WITH CENTRAL OFFICES. Regular communication and partnership with central offices to troubleshoot issues between teams, be on the forefront of process/policy changes, etc.

Required Education and Experience: Bachelor's degree, AND:

  • 48 months experience as a manager in an Accounting, Finance or Business office.

Equivalency/Substitution: Will accept 48 months related experience in lieu of the Bachelor's degree for a total of 96 months of related experience.

Skills:

  • Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint).
  • Detail oriented for accuracy of data and information.
  • Highly organized and ability to handle multiple projects and deadlines.
  • Ability to communicate well and build rapport with faculty and staff.
  • Ability to produce reports.
  • Ability to multitasks and meet deadlines in a timely manner.

Working Conditions:

  • Physical: Sit for prolonged periods. Communicate effectively and listen. Use of computer, calculator, and telephone. Engage in repetitive motion.
