Description:

The Gallogly College of Engineering's Williams Student Services Center (WSSC) is seeking an Academic Advisor to support our undergraduate programs. The WSSC academic advising staff is responsible for supporting academic success and personal development of students in the college, as well as responding to inquiries, monitoring student progress, maintaining student records, and assisting students with navigating university requirements and college policies/procedures. A successful candidate requires a balance of social skills to develop meaningful connections with students, attention to detail to provide accurate information, an understanding of academic policies and procedures, and a commitment to creating a welcoming environment.

Academic advisors have opportunities for professional development and career advancement that are self-directed and encompass the wide offerings of the profession.

Primary work hours are Mondays-Fridays 8am-5pm, with occasional evening/weekend work required with advanced notice.

Essential Duties:

  • Participating in the comprehensive onboarding Academic Advisor Training Program.
  • Conducting individual academic advising appointments for a designated caseload that addresses short-term scheduling and long-term degree planning.
  • Guiding students in formulating meaningful and appropriate academic plans based on their interested and goals, while providing guidance on the General Education curriculum, degree requirements, and academic opportunities.
  • Assessing the holistic needs of students, provides support, and refers to appropriate campus partners.
  • Developing a rapport of trust with assigned students.
  • Responding to communications via phone and email in a timely manner.
  • Managing administrative tasks associated with preparing and completing academic advising sessions.
  • Evaluating, updating, and securely maintaining student and advising records.
  • Processing academic forms such as Veteran Student Form, ROTC Academic Plan, Financial Aid Satisfactory Academic Progress Appeal, and petitions.
  • Reviewing mid-term grade reports and following college-specific protocol to proactively address academic challenges.
  • Meeting with students on Academic Probation/Reinstatement to develop their academic success plans.
  • Advising transfer students regarding transfer articulation, reviewing course equivalencies, and assisting with course planning and degree completion.
  • Conducting proactive outreach to encourage timely advising appointments, registration, and the completion of tasks that lead to degree progress.
  • Conducting graduation checks and degree and minor clearances.
  • Participating in institutional retention and completion initiatives.
  • Engaging with the Academic Advising Community through monthly meetings and professional development opportunities.
  • Serving as a Campus Security Authority (CSA) by fulfilling training and reporting obligations related to campus safety protocols.
  • Performing various duties as needed to successfully fulfill the function of the position.

Departmental Preferences:

  • Master's degree in academic advising, higher education administration, student development, or counseling preferred.
  • Previous academic advising or student support experience preferred.
