Position Summary The Assistant Director of Operations for Tecumseh Oxygen and Medical Supply is responsible for assisting with the day-to-day operations, ensuring the efficient and effective delivery of high-quality medical equipment and services to our clients. This role involves assisting with supply chain logistics, regulatory compliance, inventory control, and customer service while leading continuous improvement initiatives to enhance operational performance. The Assistant Director of Operations will collaborate closely with various departments, including sales, finance, and human resources, to align operational goals with the company's strategic objectives. POSITION SUMMARY EXPANDED: Under the Oklahoma Medical Marijuana and Patient Protection Act, (The Unity Bill) this position is considered a Safety-sensitive position. Safety-sensitive is defined to include any job that includes tasks or duties that could affect the safety and health of the employee performing the task or others. ESSENTIAL DUTIES AND JOB RESPONSIBILITES The essential functions include, but are not limited to the following areas: Operational Management: Assist with daily operations of Tecumseh Oxygen and Medical Supply, including supply chain management, inventory control, order fulfillment, and customer service.Assist with implementing operational policies and procedures to ensure compliance with industry regulations, including Medicare, Medicaid, and other applicable laws.Monitor key performance indicators (KPIs) to ensure operational efficiency, quality control, and cost-effectiveness. Supply Chain and Inventory Management: Manage relationships with suppliers and vendors to ensure the timely and cost-effective procurement of medical equipment and supplies.Oversee inventory levels to prevent shortages or overstock, implementing just-in-time inventory strategies where applicable.Assist with coordination of logistics and distribution processes to ensure prompt and accurate delivery of equipment to clients. Regulatory Compliance: Ensure compliance with all federal, state, and local regulations related to the distribution of durable medical equipment.Assist with the maintenance of accurate records and documentation required for regulatory audits and inspections.Stay informed of industry changes and ensure that company practices are up to date with current regulations. Customer Service and Quality Assurance: Implement and maintain high standards of customer service, ensuring that client needs are met with professionalism and empathy.Maintain quality assurance processes to ensure the integrity and safety of all equipment provided to clients.Handle escalated customer issues and work towards quick and effective resolution. Team Leadership: Lead, mentor, and develop a team of professionals, fostering a culture of continuous improvement and accountability.Collaborate with Director of Operations to recruit, train, and retain top talent within the company.Assist in regular performance reviews, providing feedback and setting goals for team members. Strategic Planning and Continuous Improvement: Work with the Director of Operations to develop and implement long-term operational strategies that align with the company's growth objectives.Identify opportunities for process improvements and lead initiatives to enhance operational efficiency and reduce costs. Financial Management: Work with the Director of Operations to manage the operations budget, ensuring that resources are allocated effectively and expenses are controlled.Collaborate with the finance department to optimize cash flow, inventory turnover, and cost management. EDUCATION & EXPERIENCE REQUIREMENTS High school diploma or equivalent. Bachelors degree in business administration preferred. Minimum of 7-10 years of experience in operations management, preferably in the DME, healthcare, or medical device industry. MINIMUM QUALIFICATIONS (KNOWLEDGE, SKILLS, AND ABILITIES) Able to work collaboratively with multiple professionals in a busy and complex environment using tact, diplomacy, and discipline. Ability to understand and adhere to established policies, procedures, and protocols.
