Job Description

Warren County Community Services is hiring a Transportation Supervisor in Lebanon, OH. This is a full-time position.

The Transportation Supervisor plans, directs, and oversees the daily operations of the Senior Transportation Program to ensure safe, efficient, compliant, and customer-focused transportation services for older adults. This position provides direct supervision to transportation staff, manages daily staffing and service delivery, oversees fleet operations, monitors program compliance with applicable federal, state, local, and funding agency requirements, and recommends operational improvements to support high-quality service delivery. The Transportation Supervisor promotes accountability, continuous improvement, operational excellence, and a culture of safety while ensuring services meet the requirements of ODOT, Council on Aging (ESP), Title III, and agency policies. Supervisory Responsibilities Interviews, hires, trains, coaches, and develops transportation staff.Provides ongoing supervision, performance management, coaching, and annual performance evaluations.Addresses employee performance concerns in accordance with agency policy.Oversees daily staffing, scheduling, and workload distribution to ensure effective service delivery.Promotes employee engagement, accountability, teamwork, and professional development. "80" Duties/Responsibilities: Operational Leadership Supervises the daily operations of the Senior Transportation Department to ensure efficient, safe, and customer-centered services.Ensures appropriate staffing levels to meet service demands and oversees scheduling processes in collaboration with transportation scheduling staff.Works within established policies to make operational decisions that balance client needs, regulatory requirements, safety considerations, and available resources.Communicates operational concerns, trends, and recommendations to the Aging Services Director.Participates in agency initiatives and promotes organizational goals within the Transportation Department. Reviews operational data and performance metrics to identify trends and opportunities for improvement. Regulatory Compliance & Quality Assurance Ensures compliance with all applicable ODOT, Council on Aging (ESP), Title III, federal, state, and local regulations, funding requirements, and agency policies.Maintains required program records, documentation, certifications, and reports to ensure regulatory compliance.Oversees trip documentation, mileage reporting, client signatures, billing documentation, and required reporting for accuracy and timeliness. Maintains and updates the Transportation Procedures Manual and related operating procedures with support from the Aging Services Director.Participates in Total Quality Management (TQM) activities and develops reports and corrective actions as needed. Safety, Risk Management & Fleet Oversight Oversees fleet operations, including preventative maintenance, inspections, licensing, repairs, and vehicle replacement planning.Promotes a culture of safety by ensuring compliance with transportation safety standards and defensive driving practices.Performs incident investigations, root cause analyses, corrective action planning, and follow-up activities.Ensures compliance with Major Unusual Incident (MUI) reporting requirements and other safety reporting standards.Monitors fleet utilization, fuel and maintenance costs, operational efficiency, and vehicle lifecycle to support timely replacement recommendations while maximizing vehicle life and cost-effectiveness. Staff Development & Performance Coordinates onboarding, orientation, and ongoing training for transportation staff.Conducts driver observations, in-vehicle evaluations, and associated documentation.Ensures employees maintain required licenses, certifications, physicals, and training requirements.Provides feedback to employees to improve performance, customer service, and safe driving practices. Customer Service & Community Relations Promotes exceptional customer service for clients, caregivers, referral sources, and community partners.Responds to service concerns, complaints, and complex customer situations professionally and in a timely manner.Makes client-centered decisions while balancing safety, operational efficiency, and regulatory compliance.Maintains confidentiality of client and employee information in accordance with HIPAA and agency policies. "20" Duties/Responsibilities Serves as backup for transportation scheduling functions as needed.Serves as backup driver when operational needs require.Assists the Aging Services Director with service cancellation and operational decisions during inclement weather or emergency situations.Participates in agency committees, meetings, and initiatives.Assists with special projects and continuous improvement initiatives.Performs other duties as assigned.
