Project Coordinator to support and drive the execution of multiple projects simultaneously across the Midwest and Southeast regions. This is a
key role within our organization, responsible for coordinating schedules, materials, contractors, and customer communication to keep projects moving efficiently from start to finish.
The ideal candidate thrives in a fast‑paced environment, enjoys juggling multiple priorities, and is comfortable working closely with customers, internal teams, and external subcontractors. During our busy season (April-November), you may manage
10-15 active projects at a time, making attention to detail and strong communication skills essential.
Day‑to‑Day Responsibilities - Act as the primary liaison between customers, contractors, vendors, field supervisors, and internal teams
- Coordinate and schedule project activities, including installations, deliveries, and subcontractor work
- Work directly with customers on timelines, expectations, and status updates; participate in and set up client meetings
- Build and maintain project pipelines that feed internal scheduling for both internal teams and external subcontractors
- Track and report on project projections, monthly activity, and project closeouts
- Maintain accurate and up‑to‑date project information in ERP and project management systems (including Quick Base)
- Requisition and finalize material orders; forecast inventory needs to support active and upcoming projects
- Modify schedules and logistics to accommodate weather delays, site issues, or changing customer needs
- Collaborate with the Project Management and Logistics teams to track milestones and ensure on‑time execution
- Follow and assist with maintaining and improving Standard Operating Procedures (SOPs)
- Provide data‑driven recommendations to the Lead Project Manager and escalate major budget or scope changes when needed
What You'll Bring - High School Diploma or GED required
- 3+ years of experience in project coordination, construction management, or a related field
- Strong customer‑facing communication skills (written and verbal)
- Proven ability to manage multiple projects and priorities simultaneously
- Comfort working with technical systems, ERPs, and databases (Quick Base experience a plus)
- Above‑average proficiency in Microsoft Office (Excel, Outlook, Word)
- Ability to read and interpret plans, drawings, schedules, and project documentation
- Strong organizational, time‑management, and problem‑solving skills
- Valid driver's license; minimal travel and occasional overnight stays may be required for field training
