Position Summary The Order Fulfillment Manager is responsible for leading day-to-day fulfillment operations across shipping, receiving, vendor shipments, transfers, material handling, and related production workflows. This role ensures orders are processed accurately, inventory transactions are completed timely, and materials move efficiently through the supply chain to meet customer and project commitments. The Order Fulfillment Manager partners closely with Production, Supply Chain, Project Management, and external vendors to resolve issues, improve processes, and drive measurable performance in quality, accuracy, safety, and on-time delivery. Through strong operational leadership, team development, and continuous improvement, this position supports customer satisfaction, department efficiency, and DFP's mission of saving lives. Key Responsibilities Cultivate, establish, and maintain outside-processing vendor relationships, driving pricing, quality, and on-time delivery as reported by KPIs. Own the creation of vendor shipments, which are essential to tracking material stored outside the Westlake warehouse. Coordinate vendor shipment activity to ensure accurate documentation, timely movement of materials, and clear communication of status changes to internal stakeholders. Oversee and lead the Shipping department's overall performance, efficiency, and labor allocation, reporting on-time shipping performance weekly. Release Finished Good kit productions for job specific items. Communicate project delays to the project team as soon as notification is received from internal or external teams. Maintain accountability for outbound shipment transactions, including shipment confirmation, accurate inventory updates, and timely resolution of transaction discrepancies. Monitor shipping priorities, capacity, and exception items to help ensure customer orders, job-specific kits, and project materials ship complete and on schedule. Ensure unfinished components and soft-good material transactions are completed, and material is put away in a bin location within 24 hours. Verify and close finished production upon receipt from the vendor, ensuring items are available for inventory or shipping. Maintain receiving accuracy by reviewing documentation, following up on shortages or discrepancies, and ensuring inventory is available for downstream production and fulfillment needs. Monitor and help execute inter-company transfers. Create a repeatable, optimized schedule for DFPs current satellite locations. Track transfer status and partner with internal teams to resolve delays, documentation gaps, or inventory variances affecting inter-company movement of materials. Partner with the Lead Material Handler to effectively and accurately monitor freight in and out. Support safe, organized warehouse flow by promoting accurate staging, put-away, and movement of materials in alignment with production and shipping priorities. Oversee project status and timeline management to ensure that all projects are completed within the designated time frame established during the procurement phase. Oversee Distribution Orders to ensure all orders are completed on time, including SafePro Hatch Rail orders. Create and refine operational processes aimed at continuous improvement. Build a bench of engaged team members who are capable of filling leadership roles as the organization grows. Coach, mentor, and develop team members through ongoing feedback, cross-training, and growth planning to strengthen team capability and support succession planning. Use performance metrics, workflow observations, and team feedback to identify bottlenecks, improve standard work, and reinforce accountability across fulfillment operations. Required Qualifications Bachelor's degree in business administration, project management or related field 1+ years' experience with order management, project management or related background Strong analytical skills with the ability to interpret data, identify trends, and inform strategic decisions Proven problem-solving abilities, with a proactive approach to identifying issues and implementing effective solutions Proficient in navigating and utilizing the company's ERP system (e.g., Acumatica) to support purchasing, production, and reporting workflows Working knowledge of inventory transactions, shipment confirmation, receiving, transfers, and related documentation controls Hands-on experience leading and participating in activities within the company's production workflow, ensuring smooth operations and efficiency Advanced proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint), with the ability to create reports, analyze data, and support team communication Exceptional attention to detail, ensuring accuracy and consistency across tasks and documentation Collaborative team player with excellent interpersonal skills and a commitment to supporting team goals and company objectives Ability to lead priorities in a fast-paced environment while maintaining accuracy, accountability, and follow-through across multiple operational workflows. Preferred Qualifications 2+ years' experience in construction-related project management Experience with budget management software and/or ERP Experience with scheduling software Experience reading blueprints, plans, and details Management experience Experience coaching, mentoring, or cross-training employees in a warehouse, production, fulfillment, or operations environment. OSHA/ANSI Fall Protection standards knowledge Familiarity with freight coordination, shipping documentation, inventory controls, or continuous improvement practices. Physical Requirements Ability to lift and move up to 50 pounds as needed. Ability to stand, walk, and bend for extended periods in warehouse settings. This position may require employees to sit at a computer station/desk for prolonged periods of time up to 8 hours a day. The employee is regularly required to read, count and write to accurately complete documentation required for the position. Employees must be able to use their hands and fingers to operate keyboard and phone and to file and operate office equipment. This position may require some walking, bending, reaching and standing. Will be expected to adhere to company safety standards and wear appropriate personal protective equipment (PPE), including but not limited to safety glasses, steel-toe boots, gloves, and high-visibility clothing as required by the work environment. Ability to move between office, warehouse, shipping, receiving, and production areas as needed to support operational oversight. Work Schedule This is a full-time position. Standard days and hours of work are Monday through Friday, 8: 00 AM to 5: 00 PM with a 1-hour lunch as scheduled with management. This position may require hours beyond the standard working hours listed above to satisfy job duties and department demand.
