Air Power Dynamics is hiring a A/R Coordinator (Mentor, OH) in Mentor, OH. This is a full-time position.
Position Summary
This position will have responsibility for the full accounts receivable process, beginning with customer purchase orders and continuing through order processing, invoicing, account reconciliation, customer communication, and collections. The ideal candidate will be comfortable working in a manufacturing environment, have strong attention to detail, and be able to manage multiple priorities while maintaining accurate financial records. In addition to Accounts Receivable responsibilities, this position will provide ad hoc reporting and basic support across other accounting functions, making it an excellent opportunity for someone who wants to develop broader accounting experience.

The ideal candidate is someone who is detail-oriented, proactive, and comfortable taking ownership of the entire AR process rather than focusing solely on data entry.
Because Air Power Dynamics operates in a manufacturing environment, this individual should be comfortable working with multiple departments and understanding how operational activities connect to accounting and ultimately to customer billing and collections.
We are looking for someone who will not only accurately perform assigned tasks, but will also ask questions, identify problems, and look for ways to improve processes. The ability to learn other accounting functions and provide backup support to the Accounting team is important.

Key Responsibilities
Accounts Receivable
- Process and maintain customer purchase orders and supporting documentation.
- Review purchase orders for accuracy, including pricing, quantities, terms, and other customer requirements.
- Coordinate with Operations, Sales, Shipping, Quality, and other departments to ensure information required for accurate billing is available.
- Process customer orders through the appropriate steps leading to shipment and invoicing.
- Prepare and issue customer invoices accurately and timely.
- Ensure invoices are supported by appropriate purchase orders, packing slips, shipping documentation, and other required records.
- Maintain accurate customer accounts and supporting documentation within QuickBooks.
- Apply customer payments and maintain accurate accounts receivable balances.
- Monitor customer accounts for past-due balances.
- Communicate with customers regarding outstanding invoices, payment status, discrepancies, and account questions.
- Investigate and resolve invoice discrepancies and customer disputes in coordination with internal departments.
- Perform regular AR aging reviews and follow up on outstanding balances.
- Assist with credit and rebill activity, customer returns, and other adjustments as needed.
- Reconcile customer accounts and research discrepancies.
- Maintain organized records and documentation throughout the order-to-cash process.
- Support month-end AR close activities and provide information necessary for financial reporting.
- Prepare routine and ad hoc reports for Accounting and company leadership.
- Assist with AR aging, collections, sales, customer activity, and other financial reporting.
- Analyze basic financial information and identify discrepancies or unusual activity.
- Help improve reporting processes and develop more efficient ways to organize and present financial information.
- Provide timely information to management to support operational and financial decision-making.
- Assist with Accounts Payable, cash receipts, account reconciliations, and other accounting activities.
- Assist with month-end and year-end accounting procedures.
- Cross-train on other accounting functions to provide department coverage.
- Provide basic support to other members of the Accounting team as needed.
- Maintain confidentiality and accuracy when handling financial and customer information.
- Identify opportunities to improve accounting processes, controls, and efficiency.
- Perform other accounting and administrative duties as assigned.
Required
- 2+ years of experience in Accounts Receivable, Accounting, or a related role.
- Experience with invoicing, cash application, account reconciliation, and collections.
- Strong attention to detail and organizational skills.
- Comfortable working with numbers and financial information.
- Strong communication and customer service skills.
- Proficiency with Microsoft Excel and Microsoft Office.
- Ability to manage multiple priorities and meet deadlines.
- Ability to work independently while also collaborating effectively with other departments.
- Associate's degree in Accounting, Finance, Business, or a related field.
- Experience in a manufacturing or industrial environment.
- Experience working with QuickBooks.
- Experience working with customer purchase orders and shipment/invoicing processes.
- Experience resolving customer billing disputes.
- Experience with ERP or accounting system implementations.
