Position: Sample Room Coordinator
Reports to: Showroom Manager
Location: Manhasset, NY

TileBar is looking for a detail-oriented and highly organized Sample Room Coordinator to manage and maintain the heart of our showroom—our sample room. We are seeking a meticulous team player with a passion for organization, efficiency, and delivering top-tier support to both clients and internal teams.
In this role, you will be responsible for cataloging, tracking, and distributing product samples to internal teams, clients, and external stakeholders. You will play a vital role in ensuring our sample room is well-stocked, functional, and aligned with showroom operations. By maintaining a seamless and efficient sample management process, you will enhance the overall customer experience and support the sales team in providing premium service. To thrive in this role, you will be expected to successfully perform the following duties:
Sample Management & Documentation
• Receive, catalog, and organize product samples in the sample room, ensuring seamless accessibility.
• Maintain an accurate inventory system, tracking sample movement, availability, and distribution.
• Proactively monitor sample stock levels, request replenishments as needed and optimize storage for efficiency.
• Maintain detailed records of all sample activity, including tracking systems and databases.
• Generate reports on sample utilization, inventory levels, and any discrepancies to support showroom operations.
Sample Room Organization & Maintenance
• Keep the sample room clean, organized, and visually appealing, ensuring a seamless experience for clients and team members.
• Regularly update displays and sample presentation areas to showcase products effectively.
Quality Control
• Inspect all incoming and outgoing samples to ensure they meet TileBar's quality standards.
• Communicate any quality issues or discrepancies to the appropriate teams for resolution.
Compliance & Safety
• Adhere to safety protocols for handling and storing samples, particularly for specialized or fragile materials.
• Ensure compliance with company guidelines and industry best practices for sample management.
Team Collaboration
• Work closely with showroom staff and internal teams to uphold brand standards and exceed client expectations.
• Assist with additional showroom and sales-related tasks as needed to enhance the client's experience.
Brand Representation
• Represent TileBar with professionalism and positivity, embodying our values, vision, and dedication to exceptional service.
• Contributing to our friendly, knowledgeable, and service-driven culture.
The requirements listed below are representative of the qualifications necessary to perform the job.
• High school diploma required; additional education or certifications in inventory management, logistics, or a related field is a plus.
• Experience in sample coordination, inventory management, or a similar role within a showroom, design, manufacturing, or product-related environment.
• Strong organizational skills with keen attention to detail and accuracy in tracking and managing inventory.
• Proficiency in inventory management systems or software for cataloging and tracking samples.
• Excellent communication and interpersonal skills to collaborate effectively with internal teams, clients, and external stakeholders.
• Ability to multitask, prioritize, and manage time efficiently in a fast-paced environment.
• Familiarity with basic safety procedures and regulations for handling different types of samples.
• Ability to lift up to 50 lbs. for sample movement and showroom maintenance.
