Maximus is hiring an Adoption Records Search Associate! This role involves managing adoption record searches, handling inquiries, and ensuring accurate data entry. The ideal candidate is detail-oriented, organized, and able to efficiently manage high volumes of tasks. Strong communication skills are required.

Essential Duties and Responsibilities:
- Enter appropriate data into computer programs.
- Produce and maintain data reports and alert management of inconsistencies or issues.
- Perform database queries to assist with analysis and report issues when appropriate and necessary.
- Verify data entries for accuracy and completeness.
- Undertake special projects; provide periodic and consistent information to management for each phase of the assigned project.
- Perform audits of own work and or that of others to ensure conformance with established procedures.

- Oversee a system for handling a high volume of mail and phone inquiries from applicants, agencies, and the public.
- Review client requests for access to adoption records to determine eligibility, fees, and authority for record release.
- Prioritize tasks to ensure accurate logging of incoming records into eWiSACWIS, completing high-priority tasks first.
- Oversee adoption search activities, including creating new assignments, updating records, tracking case status, completing correspondence, and ensuring prompt case closure.
- Coordinate with section and bureau staff to track fees received and manage outstanding invoices.
- Perform notary public duties for the Adoption Services Unit.
- Coordinate the collection and data entry of birth, public, and private adoption records, following Wisconsin statutes, administrative codes, and departmental policies.
- Review and enter relevant information from daily mail receipts into databases with complete accuracy.
- Upload documents into the Pre-Adoptive Case in eWiSACWIS, maintain accurate Affidavit information in Grand Search, and process adoption files from closing adoption agencies into the Central Birth Registry.
- Assist in purging closed cases and unnecessary documentation from adoption case files, ensuring destruction in accordance with DCF Records Retention schedules.
- Act as lead worker when staff assist with filing, preparation, purging, and microfilming of adoption case files.
- Assist on projects and programs as directed by supervisor.
- Must currently be working on the WI Benefits and Eligibility Assessment Systems program to qualify for this position.

Minimum Requirements

- High School diploma, GED, or equivalent required.
- 2-4 years of relevant experience required.

Pay Transparency

Maximus compensation is based on various factors including but not limited to job location, a candidate's education, training, experience, expected quality and quantity of work, required travel (if any), external market and internal value analysis including seniority and merit systems, as well as internal pay alignment. Annual salary is just one component of Maximus's total compensation package. Other rewards may include short- and long-term incentives as well as program-specific awards. Compensation ranges may differ based on contract value but will be commensurate with job duties and relevant work experience.
