General role

This position is responsible for assisting the Senior Logistics Manager with the 3PL warehouse and related duties with inbound, outbound, inventory management, warehouse management, projects and continuous improvement.

Major responsibilities

Inbound:

• Monitor open order and projected shipments from Paris and communicate forecast vs actual variations to 3PL.
  
  • Monitor shipment status report for shipments to identify delays that causes forecast vs actual variations.
  • Liaising with vendors to receiving accurate and timely information on shipments and receiving.
  • Create inbound priority list for 3PL based on out-of-stock analysis and product launches.
  • Monitor delivery litigation from Paris and stores that also includes custom compliance requirements.
  • Monitor progress of the receiving on a regular basis. Reinforce the priority to 3PL if unexplained delays are identified.
  • Work with stores on delivery and carton optimization.
  • Manage consolidation of return deliveries and cartons with stores to minimize delivery cost.
  • Responsible for inbound stock receiving communication to key business stakeholder.

Outbound:

• Monitor DTR integration between ERP and WMS.
  
  • Communicate priorities to 3PL in case of DTR quantities are larger than forecast.
  • Work closely with 3PL, stores and Merch. team to bring consistency on number of boxes delivered.
  • In case of any system integration errors, work closely with IT and 3PL to resolve the issues without any impact to the business.
  • Monitor over all DC export process including SAV according to SOP.
  • Monitor white gloves furniture delivery process to clients and stores.
  • Monitor outbound orders are dispatched according to agreed SLA, reinforce the priority to 3PL if unexplained delays are identified.

Inventory management:

• Monitor DC cycle count schedule and follow up with 3PL according to agreement/communication
  
  • Regular monitoring of high value product and plan storage according to group guideline
  • Publish monthly expiry/shelf-life report to Hermes business stakeholders.
  • Monthly validation of shelf life of products.
  • Work collaboratively with inventory team and 3PL to prepare for the annual stock take which includes but not limited to housekeeping, system testing etc.
  • Monitor and action requested variance issues from discrepancy report with 3PL, Inventory team and Hcom team.
  • Analysis of current stock holding by department and compare against forecast.

Warehouse Management:

• Work closely with 3PL to maintain a clean, safe and good working environment at the DC.
• Alert 3PL so that Stock and all other stored items, must be handled with care and maintained in a suitable location, be boxed or packaged to minimize any damage to the product.
• Collaborate with 3PL to physically segregate stock that belongs to separate physical locations.
• Assist in auditing of safety and security measures of 3PL and transport
• Validate and approve KPI results published by 3PL. Also, assist to share the results to the business
• Monitor and analyze warehouse capacity optimization process with 3PL by identifying inefficiencies and implementing strategies to maximize storage space and streamline operations.
• Implement and monitor group supply chain core model with 3PL.

Projects, Process improvement and change management:

• Take ownership of the 3PL issue log to regularly follow up on outstanding issues and improvements.
• Create and document 3PL VAS strategy and processes
• Create and document 3PL QC process according to group guideline

General:

• Assist Senior logistics manager to accurately validate/approve 3PL and freight invoices
  
  • Act as a central point of contact for any issues related to logistics/3PL to provide solutions to Hermes business teams.
  • Manage weekly team meetings in absence of Senior logistics manager

Strategic support with Senior Logistics Manager as required:

• We Logistics implementation.
  
  • Review contracts of all the logistics vendors
  • Transport optimization and tracking
  • Negotiation with service provider for cost monitoring
  • 3PL budget monitoring based on RFP forecast and actual. Then publish the report.
  • Implement CSR initiative with all the logistics transport companies
  • Monitor and validate 3PL CSR initiatives according to contract.
  • Align 3PL SOP with group guideline for return to CDC
  • Align 3PL safety training according to group guideline
  • Ensure clear communication and awareness among Hermes employees regarding the deployment of the CSR policy
  • DC compliances according to group guideline. For example: Dangerous good .
