About the Role
We have an exciting opportunity for a full-time Conference & Events Planner to join our energetic team. Act as the primary liaison between Conference & Events, Front Office, Food & Beverage, Kitchen, and hotel operations to ensure clear communication and event readiness
For this role you will….
• Prepare, manage, and distribute accurate banquet event orders, contracts, invoices, floorplans, and event documentation
• Support revenue reporting, deposits, invoicing, and payment compliance in line with hotel credit policies
• Manage CRM records, maintain database integrity, and ensure accurate tracking of sales activity and client information
• Coordinate site inspections, client meetings, and event planning, including meet-and-greet on event days
• Support marketing initiatives including website content, social media, and promotional materials
• Ensure hotel standards, WHS compliance, grooming standards, and professional conduct are upheld
• Provide operational support during events, including weekends and public holidays when required
• Maintain strong working relationships across all hotel departments
• Other duties as requested by Management
Skills and Experience
• Proven experience in a conference and events coordination or sales role within a hotel or large-scale hospitality environment
• Strong ability to liaise effectively with multiple departments to ensure seamless event delivery
• Excellent organisational and administrative skills, with high attention to detail in event documentation, contracts, and financials
• Experience preparing and managing banquet event orders, invoices, floorplans, and client correspondence
• Strong client-facing skills, including conducting site inspections and managing client relationships
• Sound understanding of hotel operations, food and beverage service, and conference event workflows
• Experience using CRM or event management systems (e.g. iVvy or similar)
• Strong communication skills, both written and verbal, with the ability to engage professionally with clients and internal stakeholders
• Ability to manage multiple events simultaneously and meet deadlines in a fast-paced environment
• Knowledge of WHS, hotel policies, and compliance requirements
• Flexibility to work outside standard business hours, including weekends and public holidays when required
• Full, unrestricted working rights in Australia (job ready)
