Healthcare Staffing Coordinator Clinical Workforce Scheduling Position Summary New Jersey Respiratory Associates is seeking an experienced, dependable, and highly organized Assistant Staffing Coordinator to support the scheduling and deployment of respiratory therapists, nurses, and other healthcare employees across multiple facilities and service locations. The successful candidate must have direct responsibility for filling open shifts, managing employee availability, responding to call-outs, addressing coverage gaps, and coordinating qualified clinical staff across one or more healthcare facilities. Experience staffing respiratory therapists, LPNs, RNs, CNAs, or employees working within skilled nursing facilities, ventilator units, long-term care facilities, or post-acute healthcare settings is strongly preferred. This position is not intended for candidates whose experience is limited to patient appointment scheduling or general administrative scheduling. The Assistant Staffing Coordinator will work closely with the Staffing Coordinator, Human Resources, clinical leadership, and respiratory therapy staff to maintain appropriate facility coverage and support reliable service delivery. Essential Responsibilities Assist with scheduling respiratory therapists, nurses, and other healthcare employees across mobile accounts, ventilator units, skilled nursing facilities, and other assigned service locations. Review facility staffing needs, employee availability, qualifications, geographic coverage, and scheduling requirements. Communicate assignments, open shifts, schedule changes, and coverage expectations clearly and promptly. Contact qualified employees to fill open shifts and address call-outs, coverage gaps, and urgent staffing needs. Prepare and maintain recurring employee schedules and related staffing records. Maintain accurate documentation of employee availability, shift assignments, schedule changes, time-off requests, and coverage activity. Place appropriately qualified employees based on facility needs, clinical requirements, employee experience, and geographic availability. Monitor and respond to staffing communications received by telephone, email, and company systems. Collaborate with Human Resources and clinical leadership regarding new hires, orientation, scheduling availability, and readiness for assignment. Maintain Excel spreadsheets, staffing trackers, and reports for departmental leadership. Assist employees with scheduling questions and communicate applicable attendance and scheduling expectations. Support additional staffing and administrative responsibilities as assigned. Required Qualifications At least one to two years of direct experience staffing or scheduling healthcare employees. Experience coordinating clinical staff availability, open shifts, call-outs, schedule changes, and facility coverage. Experience staffing respiratory therapists, nurses, nursing assistants, or comparable healthcare professionals. Understanding of urgent healthcare coverage needs, last-minute schedule changes, and multi-location assignments. Strong working knowledge of Microsoft Excel. Experience using staffing, scheduling, or workforce-management software. Excellent organizational, time-management, problem-solving, and communication skills. Ability to manage multiple priorities and remain professional in high-pressure situations. Strong attention to detail and commitment to maintaining accurate and confidential employee records. Ability to work four 10-hour shifts per week at the Fairfield, New Jersey office. Willingness to complete a mandatory 12-question screening questionnaire before being considered for an interview. Preferred Qualifications Experience staffing respiratory therapists or other clinical professionals. Experience supporting staffing operations within skilled nursing facilities, ventilator units, long-term care facilities, or post-acute healthcare settings. Experience using UKG Ready or a comparable workforce-management platform. Familiarity with multi-location healthcare staffing and last-minute shift coverage. Work Arrangement This position will be fully onsite in Fairfield, New Jersey, during the introductory/probationary period. Following successful completion of that period, a hybrid work arrangement may be discussed based on performance, demonstrated reliability, departmental needs, and management approval.
