Salary Range: $70, 000 - $90, 000
Knowesis is currently seeking a Senior Administrative Assistant to provide administrative and operational support at the New Jersey War Related Illness and Injury Study Center (NJ WRIISC). This position plays a critical role in supporting the WRIISC Director and leadership team to ensure smooth program operations. The Senior Administrative Assistant will manage high-level administrative tasks, coordinate meetings and communications, oversee documentation and reporting, and provide direct support to research and program leadership. The role requires a high degree of professionalism, discretion with sensitive information, and strong organizational and problem-solving skills.
To be eligible for this position, candidates must possess U.S. Citizenship without the need for sponsorship, both now and in the future. Applicants without proof of U.S. Citizenship will not be considered due to the position’s security requirements.
The Job Duties and Responsibilities include but are not limited to the following:
- Proactively coordinate and prioritize meetings, prepare agendas, and capture summary notes
- Facilitate meetings and ensure effective communication across teams
- Manage correspondence for Directors, including drafting, editing, and tracking documents, reports, and presentations
- Screen emails and prioritize actions for leadership
- Maintain accurate records, track expenses, and serve as a liaison between leadership, staff, stakeholders, and external partners
- Analyze inefficiencies and recommend workflow improvements
- Develop and document new administrative procedures using VA’s Standard Operating Procedure format
- Coordinate logistics for special projects, strategic planning efforts, conferences, and seminars
- Manage arrangements for guest speakers, events, and departmental activities
- Track required tasks and reports from the local facility, VISN, and Program Office
- Provide draft responses and ensure timely submission in coordination with appropriate personnel
- Act on behalf of the Director in engaging with staff to address operational requirements, escalating issues as necessary
Required Qualifications:
- Minimum of an Associate degree
- Minimum of nine (9) years of relevant administrative, program support, executive support, operations, or similar professional experience
- Favorable background check
- Demonstrated ability to manage multiple priorities, deadlines, and competing demands
- Strong written and verbal communication skills.
- Strong organizational, interpersonal, and problem-solving skills
- Demonstrated ability to handle confidential and sensitive information with discretion
- Proficiency with Microsoft Office Suite and common office and administrative technologies.
