Role reports to: Chief Medical Officer
Location: Summit, NJ; Kenvue is currently in the process of moving its Global Headquarters from Skillman, NJ to Summit, NJ. This role is based in Summit, NJ but there may be a period of time during the transition that you must report to Skillman, NJ.
Travel: 10%
Pay: $48, 000 to $68, 000
What you will do The Executive Administrative Assistant is responsible for:
Key Responsibilities
- General support for data analysis, communication activities, engagement initiatives.
- Proactively liaise with Medical, Clinical & Safety Sciences Leadership Team to determine the needs and align on meetings/events.
- Set up mid-year, Year End conversations, G& O's meetings, and collect 360 Stakeholder Feedback where necessary.
- Support and organization large meetings and liaise with business partners and other EAs to assist complex meetings.
- Coordinate travel and logistic arrangements, expense management. Organizes domestic and international internal and external meetings; responsible for booking and management of complex domestic and international travel arrangements/itineraries
- Requires a full understanding of the functions, practices, procedures, and policies. This person will have regular contact with senior management within and outside to provide Kenvue information often of a sensitive and confidential nature.
- This individual must possess the ability to anticipate needs and collect/prepare information for the executives. He/she is expected to maintain high performance goals and objectives while adhering to company-wide ethical standards as established in the Johnson & Johnson Credo.
- The candidate must be able to effectively respond on-demand requests, take action appropriate with limited guidance and direction in a dynamic, fast-paced, and diverse environment.
- Prepares and maintains documents of a highly confidential and sensitive nature; maintains a highly complex and changeable calendar; executes rigorous follow-up; .
- Generates, monitors/tracks of POs, invoices and provides monthly spend reports; responsible for the management and timely reconciliation and submission of expense reports.
- Coordinates departmental activities at the request of management; is responsible for updating and maintenance of departmental organizational charts; manages expense reporting; tracks and escalates time sensitive activities and manages expenses and corporate charges on a regular basis; support leader with Workday requests.
- The Executive Assistant is required to think independently and analytically, exercises sound judgment and discretion, effectively manages conflicting priorities and calendaring, and works closely with the leadership team to maintain day-to-day departmental operations.
What we are looking for Required Qualifications
- 5 years business experience in Administrative Assistant/Executive Assistant role
- Excellent verbal and written communication skills is required.
- Ability to prioritize tasks is required.
- Ability to work well under pressure is required.
- Well organized and working collaboratively are required.
- Proactive and service & solution oriented are required.
- Enthusiastic, curious and a self-starter are required.
- Ability to exercise discretion is required.
- Able to use Office programs to complete daily tasks efficiently. Includes MS Excel, MS Word, MS PowerPoint, and Outlook are all required.
Desired Qualifications
- Previous experience in a similar role, or within a multinational environment are highly preferred.
- An Associate's degree at minimum is preferred
- Experience managing digital & agile tools such as excel are preferred.
- Experience in a Consumer Health / Healthcare industry are highly preferred.
