Summary/Objective The Accounts Payable Vendor Maintenance Specialist is responsible for the creation or modification of new and existing vendors, ensuring timely completion, while in compliance with policy and audit controls. This position plays an integral role in assisting the Vendor Management process with updating, maintaining and protecting the integrity of Flow Control Groups master vendor data files, while supporting Shared Services accounts payable functions.
Essential Functions - Research and acquire key vendor data such as W9 forms, Tax ID information, correct remit addresses and 1099 withholding information
- Utilize risk management tools in the collecting and research of vendor data
- Verify all banking information in accordance with policy and work to drive direct deposit as a preferred payment method
- Support AP team on vendor set up related issues, research and resolutions where required
- Work to cleanse vendor profiles and ensure existing vendor master data has all required documentation
- Build solid relationships across all locations including various levels of management while providing and garnering cooperation and positive interaction with co-workers
- Educate internal staff and locations on the vendor set-up process and need for proper documentation
- Support the Accounts Payable process and Procurement team via ensuring the timely and accurate completion of any vendor-related tasks required
- Ability to use logic to analyze and resolve issues
- Provide exemplary customer service by communicating and developing a rapport with Brands
- Promptly respond to internal and external customer and vendors inquiries in a timely and professional manner
- Contribute to the continuous improvement of the vendor management process by identifying opportunities to streamline processes and maximize efficiencies
- Ability to consistently meet deadlines
- Additional responsibilities to be determined as needed
Competencies - Excellent verbal and written communication skills.
- Strong organizational skills, accuracy, attention to detail & follow through are required
- Proficient in MS Office with strong proficiency in Excel.
- Ability to work independently and in a fast-paced environment.
Position Type/Expected Hours of WorkThis is a full-time position. Days and hours of work are Monday through Friday. Occasional evening and weekend work may be required as job duties demand especially during Accounting Close.
Education and Experience - Associate's degree in finance or business.
- 3-5 years of experience accounting or accounts payable preferred.
- Bachelor's degree preferred.
- Microsoft Office tools including advanced excel skills preferred.
- Prophet 21 experience preferred.
