Description:

Summary: Responsible for cash application, invoicing, handling collections and managing credit limits, to maximize sales and minimize DSO and bad debt write offs by performing the following duties.

Duties and Responsibilities include the following. Other duties may be assigned.

  1. Applies lockbox, ACH and CC payments from customers for several brands.


  1. Invoices customers daily including maintaining and updating customer portals


  1. Responsible for customer account maintenance including new customer setup and ship to tax jurisdictions


  1. Responsible for determining and assigning appropriate credit limits for new customers using D& B, trade and bank references, and sales rep input.


  1. Reviews credit hold portal continuously and releases orders appropriately.


  1. Establishes effective relationships with customers to improve collection efforts.


Establishes effective relationships with employees, especially inside and outside sales reps. Determines appropriate time to involve sales in collections.

  1. Determines effective collection call process for past due accounts to obtain DSO of 45 days and to minimize past due amounts.


  1. Responsible for partnering with effective collection agencies including D& B.


  1. Provides a weekly past due aging report to management and sales.


  1. Obtains signed credit applications, W9's and tax exemption reports.


  1. Approves or denies credits for new customers within 2-3 days and notifies sales of decision.


  1. Manages credit limits for existing customers continuously.


  1. Provides credit references to other companies.


  1. Researches short payments, deductions, and discrepancies.


  1. Updates collection call notes daily.


  1. Ensures customer files are current and up to date


  1. Performs other related duties as assigned.


Qualifications:

Language Ability:

Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.

Math Ability:

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

Reasoning Ability:

Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.

Computer Skills:

To perform this job successfully, an individual should have knowledge of Microsoft Office Suite.

Education/Experience:

High school diploma or general education degree (GED); and two to four years related experience and/or training; or equivalent combination of education and experience. Accounting degree a plus.
